
Senior Operations Specialist

This role involves supporting high-level executives as their right-hand person. You'll manage calendars, email prioritization, recruiting coordination, and administrative tasks that create leverage for leadership.
Your work will enable our leadership team to operate at maximum efficiency by ensuring priorities are managed seamlessly, meetings are strategically scheduled, candidates are smoothly coordinated, and critical admin functions are executed with precision.
Key Responsibilities- Manage inboxes, triaging messages, drafting responses, and surfacing urgent priorities
- Own calendar management across multiple time zones, scheduling both internal and external meetings
- Serve as a discreet liaison in select communications
- Schedule and coordinate candidate interviews per week across departments
- Communicate with hiring managers and candidates to ensure a smooth interview process
- Maintain scheduling workflows across tools
- Handle travel arrangements and itineraries (occasional trips)
- Support vendor research, swag orders, and light process documentation
- Assist with internal workflows across various platforms
- Execute ad hoc tasks with minimal context but high accuracy
- Support light project management tasks to streamline leadership workflows
- 3+ years of experience as an Executive Assistant, ideally supporting C-suite or founders
- Strong calendar and inbox management skills
- Exceptional written and verbal communication skills with high emotional intelligence
- Proven ability to handle sensitive information with discretion
- Strong organizational skills and attention to detail, with the ability to pivot quickly
- Comfort using productivity tools
- Experience in fast-paced startup environments
- Exposure to global teams and async collaboration
- Track record of creating SOPs and improving administrative processes
- Familiarity with remote work and international industry expertise
