Clinical Outreach and Site Activation Manager

At our organization, we are seeking a skilled Clinical Outreach and Site Activation Manager to join our team. In this role, you will be responsible for designing and executing targeted campaigns to activate clinical trial sites.

You will research and filter specialists using various tools, such as Google and NPI Registry, and use your clinical judgment and knowledge of U.S. standard of care to identify the right specialists and exclude poor fits. You will build targeting frameworks using CPT and ICD-10 codes, and QA all lists before launch to ensure quality and targeting precision.

  • Create standardized playbooks to optimize repeatable outreach
  • Write and iterate outreach emails that drive replies
  • Manage junior staff - assign work, check quality, and coach improvement
  • Run email sequences in Mixmax or similar tools
  • Triage replies and hand off to the Medical Director for qualification
  • Track outreach performance in Airtable or CRM
  • Continuously improve the system - spot issues, propose fixes, and implement improvements

This is a high-trust, high-autonomy role with real impact. We are looking for a systems-minded operator who can own and run our site activation campaigns without direct involvement from senior management.

Requirements
  • Experience running high-context outreach campaigns in healthcare, clinical research, or healthtech
  • Understanding of how doctors actually work, including specialties, referrals, and the US healthcare system
  • Ability to reverse-engineer who's seeing the right patients and filter them effectively
  • Systems-driven mindset, building workflows and logic trees
  • Comfortable managing junior staff and getting the best out of them
  • Excellent written communication skills and ability to write persuasive outreach copy
