Order Management Specialist

Job Overview:

The ideal candidate will be a trusted advisor, supporting multiple team members, proactively and effectively within the business. To succeed in this role, one must understand the business, demonstrate high-level business acumen, and exhibit exceptional organizational skills, contributing to seamless day-to-day operations.

Responsibilities:

  • Manage orders from multiple suppliers.
  • Invoice and allocate customer payments.
  • Deliver inventory on time.
  • Prepare logistics documentation.
  • Manage garment production timelines and delivery delays.
  • Supervise supplier order management.
  • Administrative Tasks:
    • Coordinate meeting agendas for 1:1 and direct report meetings.
    • Maintain manager's calendars and email inbox(es).
    • Write error-free, eloquent emails and letters.
    • Create and oversee internal administration processes and system upkeep.
    • Ensure confidentiality and use discretion.
    • Oversee day-to-day operations of executive management functions.
    • Administer internal administration processes and system maintenance.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or related field is desirable but not essential.
  • At least two to four years' experience as an order management assistant or similar role.
  • Project management skills are advantageous.
  • Strong analytical and computer skills, primarily with Outlook, Excel, and Teams.
  • Excellent oral and written communication skills.
  • Detail-oriented, providing accurate and high-quality work.
  • Able to manage multiple priorities while focusing on quality and delivery.
  • Good administrative and organizational abilities.
  • Able to learn quickly and think ahead.
  • High level of empathy and mindfulness.
  • Provides systematic follow-up, organization, and preparedness.
  • Maintains workflow under pressure in a fast-paced environment.
