Patient Support Specialist Job

We are seeking a highly skilled and compassionate Patient Support Specialist to join our team. As a key member of our support staff, you will play a vital role in ensuring the highest level of patient satisfaction and loyalty.

Responsibilities:

  • Patient Communication: Respond promptly and professionally to patient enquiries via phone, email, online forms, and other channels.
  • Service Delivery: Provide clear and empathetic information about chiropractic services, addressing questions and concerns with care.
  • Lead Management: Manage incoming leads and conduct timely follow-ups to maximise engagement and conversion.
  • Proactive Outreach: Reactivate past patients through proactive outreach, re-engagement campaigns, and regular communication.
  • Data Entry: Accurately record and update all interactions in the lead management and CRM systems.
  • Performance Analysis: Track, analyse, and report on lead conversion rates and relevant performance metrics.
  • Scheduling: Schedule initial consultations and follow-up appointments, ensuring coordination with clinic staff and chiropractors.
  • Payment Transactions: Handle payment transactions, provide transparent pricing information, and guide patients through payment options.
  • Compliance: Follow all scripts, procedures, and internal systems with precision to ensure consistency and compliance.
  • Time Management: Maintain a disciplined and efficient approach to daily tasks and workflows.
  • Customer Service: Deliver exceptional customer service and uphold a patient-first experience at every touchpoint.
  • Escalation: Address complaints or issues with professionalism, escalating complex matters when required.
  • Additional Duties: Perform additional clinic support and administrative tasks as needed.

Requirements:

  • Education: Bachelor's degree or Certificate IV in a relevant discipline preferred.
  • Experience: At least 3 years of experience in a customer service or sales support role within a healthcare environment.
  • Background: Strong background in the medical or allied health field is highly desirable.
  • Communication Skills: Excellent verbal and written communication skills with a personable and empathetic approach.
  • Discipline: High level of discipline in following procedures, scripts, and workflow systems.
  • Multitasking: Ability to balance warm patient interactions with timely task completion.
  • Time Management: Strong time management and multitasking abilities in a fast-paced setting.
  • CRM: Competency with CRM and lead management tools.
  • Professionalism: High standards of professionalism, confidentiality, and integrity.
  • Independence: Self-motivated and capable of working independently and collaboratively as part of a small team.
