Job Summary:

  • As a Clinic Coordinator, you will be responsible for managing calendars, coordinating travel arrangements and meetings for executives.
  • You will serve as the primary point of contact for patients, clients, and partners via phone, email or virtual reception.
  • Scheduling medical appointments, follow-ups and patient reminders with accuracy and care is crucial in this role.
  • You will maintain and update patient and office records in scheduling systems and CRMs.
  • This position requires strong support skills to assist executives with document preparation, meeting notes and task follow-ups.
  • Your attention to detail will ensure smooth day-to-day coordination of office and scheduling operations.

Key Responsibilities:

  • Manage multiple calendars to coordinate travel arrangements and meetings for executives.
  • Provide exceptional customer service as the first point of contact for patients, clients, and partners.
  • Schedule medical appointments, follow-ups and patient reminders with accuracy and care.
  • Maintain accurate and up-to-date patient and office records in scheduling systems and CRMs.
  • Support executives with document preparation, meeting notes and task follow-ups.
  • Coordinate day-to-day activities to ensure seamless operation of the office and scheduling department.

Requirements:

  • A minimum of prior experience in a medical, clinic or hospital setting is required.
  • Prior experience as a Medical Scheduler, Receptionist or Executive Assistant is necessary.
  • Knowledge of HIPAA regulations and ability to handle sensitive patient information with discretion and confidentiality are essential.
  • Strong organizational and multitasking skills with keen attention to detail are required.
  • Excellent written and verbal communication skills are necessary.
  • Proficiency in Microsoft Office/Google Workspace and experience with scheduling or CRM tools are preferred.
  • A highly motivated, adaptable and proactive mindset is essential for success in this role.
