Spare Parts Import and Export Specialist Job Description

The role of the Spare Parts Import and Export Specialist is to oversee and administer the import and export of spare parts, ensuring compliance with regulations. This involves preparing necessary documentation, coordinating with suppliers and logistics providers, and monitoring shipments to ensure timely delivery.

Key Responsibilities:
  • Shipments Facilitation
    • Coordinate with shipping firms, customs brokers, and warehousing to process imports and exports
    • Monitor shipping references as well as ETA/ETD
    • Oversee shipments at Customs and supply any additional requirements as necessary
    • Monitor and oversee the shipment's release and delivery
    • Process shipment billing through E-finance
  • Compliance and Documentation
    • Prepare and process required documents by the forwarder prior to shipment arrival
    • Government Permit and Exemption Application
    • Administer files and records for shipments
    • Prepare manual invoice and packing list for filing of export entry
  • Cost Management
    • Calculate and process duties, taxes, and charges related to imports and exports, including tariff use per item
    • Procure spare parts from suppliers in a timely and cost-effective manner
  • Customer Service
    • Evaluate and improve customer satisfaction regarding delivery time and accuracy
    • Collaborate with the customer service group to resolve issues and discrepancies promptly
Requirements:
  • Bachelor's degree in Customs Administration, Logistics, Supply Chain, or related field
  • Proven experience in import/export operations
  • Strong knowledge of customs regulations, tariffs, and shipping procedures
  • Excellent communication, negotiation, and organizational skills
  • Strong interpersonal skills; able to collaborate across all levels
  • Familiarity with import/export software and systems
Preferred Qualifications:
  • Minimum of 1–2 years in import/export operations and experience in customs compliance, freight forwarding, and international shipping procedures
