
Administrative Support Specialist

This is an opportunity to work in a fast-paced commercial real estate investment firm. As an Administrative Assistant, you will provide vital support to the Director of Construction and contribute to the success of our construction projects.
Responsibilities- Manage calendars and schedule meetings with contractors, vendors, and internal teams effectively.
- Prepare and organize construction-related documents, including contracts, permits, change orders, and reports accurately.
- Track project timelines, deliverables, and budgets using project management tools efficiently.
- Support vendor communication and follow-ups to ensure timely execution of tasks.
- Maintain organized digital filing systems for construction projects.
- Support invoice processing and expense tracking.
- A minimum of three years of full-time work experience is required.
- Solid organizational skills, including the ability to prioritize and multi-task are essential.
- Working knowledge of Microsoft Office Suite, including Word, Excel, and Outlook.
- Effective communication and professional interaction with all levels of the organization and externally with vendors and other parties.
The ideal candidate should possess excellent time management and problem-solving skills, be able to work under pressure, and maintain confidentiality when dealing with sensitive information.
