We are seeking an experienced Administrative Assistant to provide administrative support to our accounting team. The successful candidate will be responsible for a range of tasks including client job and document management, new client onboarding, and assembly of tax returns.
Duties and Responsibilities- Client Job and Document Management:
- Upload and download documents from the client portal.
- Filing and organizing documents within client folders.
- Email notifications to clients and tax preparers as needed.
- New Client Onboarding:
- Send welcome emails to new clients.
- Assign Lacerte Tax ID numbers.
- Set up client portals and login credentials.
- Assembly:
- Prepare and send client tax returns.
- Follow up with clients if not received in a timely manner.
- E-file returns when signatures and payments are received.
- Document all work in practice.
- Accounts Receivable:
- Track and invoice recurring invoices and run payments monthly.
- Collections by running aging reports and reaching out to clients.
- Time sheet billing for all departments.
- Process payments, including ACH, wire transfers, and check payments.
- Reconciliation postings daily.
- Monitor billing email inbox for internal invoice requests.
- Check rate sheets for appropriate invoice amounts.
- Prepare credit memos using correct GL codes and journal entries.
- Track client retainers.
- Reach out to new clients to have accounts on file.
- Create statements upon client requests.
