Job Description

We are seeking an experienced Administrative Assistant to provide administrative support to our accounting team. The successful candidate will be responsible for a range of tasks including client job and document management, new client onboarding, and assembly of tax returns.

Duties and Responsibilities
  • Client Job and Document Management:
    • Upload and download documents from the client portal.
    • Filing and organizing documents within client folders.
    • Email notifications to clients and tax preparers as needed.
  • New Client Onboarding:
    • Send welcome emails to new clients.
    • Assign Lacerte Tax ID numbers.
    • Set up client portals and login credentials.
  • Assembly:
    • Prepare and send client tax returns.
    • Follow up with clients if not received in a timely manner.
    • E-file returns when signatures and payments are received.
    • Document all work in practice.
  • Accounts Receivable:
    • Track and invoice recurring invoices and run payments monthly.
    • Collections by running aging reports and reaching out to clients.
    • Time sheet billing for all departments.
    • Process payments, including ACH, wire transfers, and check payments.
    • Reconciliation postings daily.
    • Monitor billing email inbox for internal invoice requests.
    • Check rate sheets for appropriate invoice amounts.
    • Prepare credit memos using correct GL codes and journal entries.
    • Track client retainers.
    • Reach out to new clients to have accounts on file.
    • Create statements upon client requests.
