Responsibilities:
1. Project Planning and Execution Support
● Assist in defining project requirements (most especially for big projects such as post
construction cleaning, commercial space clients, brand partners etc) goals, deliverables,
and timelines in collaboration with the Project Coordinator Supervisor and clients.
● Support the development of project plans, including tasks, milestones, and resource
allocation
● Coordinate project meetings with staff, including scheduling, preparing agendas, and
documenting meeting minutes.
● Help track project progress and milestones, ensuring adherence to project plans and
timelines
● Collaborate with cross-functional teams such as HR and sales team to facilitate smooth
project execution and timely completion of tasks
2. Communication and Stakeholder Management
● Serve as a point of contact for project-related inquiries from internal and external
stakeholders (such as clients, cleaners, etc)
● Facilitate effective communication among team members, clients, and stakeholders.
● Assist in preparing and distributing project status reports, presentations, and other
communication materials to the management
● Support the Project Coordinator Supervisor in managing relationships with clients and
stakeholders
● Collaborate with team members and other stakeholders to ensure everyone is informed
and aligned on project updates and tasks
3. Documentation and Quality Assurance:
● Assist in maintaining comprehensive project documentation, including project plans,
masterfile, material and equipment inventory, reports, and change requests
● Support the implementation of quality control measures to ensure project deliverables
meet established standards
● Contribute to lessons learned and knowledge sharing activities to improve future project
outcomes
● Assist in project closure activities, including final documentation, evaluation, and
archiving
4. Resource Coordination and Monitoring
● Collaborate with the Project Coordinator Supervisor to assign tasks to team members
based on skills and workload
● Assist in monitoring resource utilization and workload distribution across projects
● Coordinate with team members and other stakeholders to ensure timely availability and
delivery of resources
● Support the identification of staffing needs and participate in recruitment and onboarding
processes.
5. Risk and Issue Management
● Assist in identifying potential risks, issues, and dependencies that may impact project
timelines and deliverables and provide probable solutions to mitigate risks
● Help monitor project risks and issues, escalating them to the Project Coordinator
Supervisor as necessary
● Contribute to the implementation of mitigation strategies to address project risks and
issues
6. Cost Optimization and Material/Equipment Inventory
● Contribute to cost optimization efforts by monitoring project expenditures and identifying
areas for cost-saving
● Assist in analyzing project budgets and tracking expenses to ensure adherence to
budgetary constraints
● Collaborate with the Project Coordinator Supervisor to manage material and equipment
inventory
● Coordinate with vendors and suppliers to ensure timely procurement and delivery of
materials and equipment
● Help implement inventory management systems to track and optimize material and
equipment levels
7. Logistics Coordination and Facilitation
● Assist in coordinating logistics requirements for projects, including transportation,
storage facility, and other logistical needs
● Collaborate with logistics partners to ensure efficient and timely movement of materials,
equipment, and resources
● Support the coordination of storage facilities and space requirements for project
materials and equipment
● Help ensure compliance with relevant regulations and requirements for logistics and
storag
