Job Brief: We are seeking a dedicated and detail-oriented Accounting Administrative Assistant to join our team. This role is crucial in ensuring the smooth operation of our wholesale and internal processes. The successful candidate will be responsible for book-keeping duties, preparing production sheets, handling invoicing for wholesale customers and internal customers, maintaining checklists, and providing general administrative support.
Responsibilities:
• Prepare Production Cut lists: Accurately compile and update production cut lists to ensure all necessary information is available for daily operations.
• Wholesale Customer Invoicing: Generate and manage invoices for wholesale customers, ensuring all transactions are recorded correctly and payments are tracked.
• Internal Store Invoicing: Handle invoicing for transactions between our Factory and Retail Stores, maintaining clear and precise records.
• Bookkeeping: all book-keeping responsibilities which may include:
• Bank reconciliation
• Entering Supplier invoices
• Assisting with some GL journals
• Checklist Maintenance: Develop and maintain checklists to ensure all tasks and processes are completed efficiently and on time.
• General Administrative Support: Provide comprehensive administrative support to the team, including scheduling, filing, data entry, and other tasks as needed.
• Customer Service: Assist with customer inquiries and provide information about our products and services in a friendly and professional manner.
• Documentation: Maintain accurate and organized records of all transactions and administrative activities.
Requirements:
• Experience: Previous experience in an administrative or bookkeeping role is preferred.
Skills:
• Strong organizational and multitasking skills.
• Excellent attention to detail and accuracy.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Proficiency in Xero accounting software is required.
• Communication: Excellent written and verbal communication skills.
• Team Player: Ability to work effectively within a team and independently.
• Customer Service: Strong customer service skills and a friendly, approachable manner.
• Knowledge: An understanding of the organic food industry or a willingness to learn about our products and values.
