Job Purpose:

The Human Resource Assistant (Timekeeping and Attendance) ensures accurate recording of employee work hours, absences, tardiness, and overtime. This role plays a critical part in payroll accuracy, ensuring employees receive correct compensation based on actual work hours. The position also enforces company attendance policies, manages leave balances, and ensures compliance with labor laws and regulations. By maintaining precise records, the HR Assistant supports workforce management, minimizes discrepancies, and provides reliable data for decision-making, audits, and reporting.

Responsibilities:

  • Accurately track employee attendance, work hours, tardiness, absences, and overtime.
  • Maintain and update timekeeping records using biometric systems, manual logs, or HRIS.
  • Process and verify timesheets to ensure data accuracy for payroll processing
  • Track and manage employee leave balances, including vacation, sick, and unpaid leaves.
  • Investigate and resolve discrepancies related to timekeeping, such as missing logs or incorrect entries.
  • Generate and submit timekeeping reports for payroll processing, audits, and management review.
  • Ensure compliance with company attendance policies and labor laws.
  • Assist in payroll audits and generate reports as needed.
  • Address employee concerns related to attendance, absences, and timekeeping discrepancies and respond to employee inquiries regarding salary, deductions, and payslips.
  • Support HR and management in payroll-related compliance and documentation.
  • Assist in improving payroll processes and ensuring system efficiency.
  • Ensure proper documentation and approval of attendance adjustments, such as schedule changes or missed clock-ins.
  • Participate in relevant HR responsibilities as assigned by the HR Senior Manager.
