Chong Hua Hospital is looking to hire an experienced and highly dynamic Executive Assistant who is responsible for providing secretarial, clerical, and administrative support in the department that s/he is assigned to. S/He ensures the efficient flow of administrative services in the department. S/He serves to relieve his/her supervisor of administrative details by preparing, compiling, and summarizing data through the preparation of reports. S/He may be tasked to participate in a project that aims to improve some specific areas of the department either working independently or as a member of a cross functional team. May be requested to train and mentor junior personnel and tasked to provide performance assessment of staff.

Additionally, s/he is responsible for safeguarding confidential documents and information. S/He helps improve the process/quality of service in the department and performs other duties as directed by immediate superior.

JOB DUTIES & RESPONSIBILITIES

  • Prepares reports and vital presentations in an accurate and timely manner; provides the analysis of these reports as required by executive head.
  • Coordinates with other departments in preparation for equipment, documentation, minutes, among other needs for meetings, seminars, symposium, etc.
  • Facilitates the logistical requirements for the department head's official business trips, i.e., booking of transport, room reservations, etc.
  • Maintains the efficient flow of department communication which involves meeting invite/memo, reminders regarding appointments, deadlines of reports, etc.
  • Establishes and maintains monitoring tools for the management of documents, which covers, but is not limited to filing, records' retrieval, correspondence logs, etc.;
  • Responsible for safeguarding confidential documents, sensitive business contacts and sensitive personal details of the department / department head. Ensures that these details are disclosed only upon the mandate of executive head.
  • May be assigned in a project that aims to improve specific areas, working independently or with a cross-functional team. May be tasked to make necessary recommendations on performance of team members or cross-functional team member.
  • Periodically updates the immediate superior regarding project progress, deadlines, and other tasks and assignments. Escalates issues and concerns beyond his/her level of capacity.
  • Participates in the continuous quality improvement of service, safety procedures and activities.
  • Provides analyses on processes, policies and procedures based on research or gathered data.
  • Participates in the creation of or recommends updates and changes in the policies and procedures to continuously improve the quality of service in the unit/area.

QUALIFICATIONS

  • A graduate of bachelor's degree in any course
  • With at least three (3) years of relevant work experience as Human Resources Specialist or Generalist.
  • Healthcare industry experience is a plus.
  • Has good administrative skills
  • Effective verbal and listening communications
  • Demonstrated understanding of basic corporate office software, including Microsoft Office 365 applications.
  • Effective communication skills. Proficiency in the Visayan dialect and/or Tagalog is required; ability to communicate well in English is an advantage.
