The role

We are seeking a highly organized and detail-oriented Branch Coordinator to join our team at DJ SHOP in Quezon City, Metro Manila. As our Branch Coordinator, you will be responsible for overseeing the day-to-day operations of our local branch, ensuring efficient and effective administrative support for our business.

Key responsibilities

Communication and Liaison

  • Internal Communication: Serve as the point of contact between the branch and head office or central management, ensuring effective communication of company updates, policies, and goals.

  • Customer Liaison: Communicate with customers or clients regarding their needs, complaints, or feedback, ensuring high levels of satisfaction and addressing any concerns.

  • Vendor and Supplier Coordination: Maintain relationships with local vendors and suppliers, manage procurement, and ensure timely delivery of supplies and equipment.

Branch Reporting and Documentation

  • Report to Management: Provide regular reports on branch performance, including sales, inventory levels, and operational efficiency, to senior management or head office.

  • Maintain Branch Documentation: Oversee the organization and filing of important documents such as contracts, invoices, purchase orders, and employee records.

    • Manage the branch's administrative functions, including filing, record-keeping, and data entry

    • Staff Supervision: Coordinate staff schedules, provide guidance, and ensure that employees are adhering to company guidelines and performance standards.

Inventory and Stock Management

  • Manage Inventory: Oversee the inventory at the branch, ensuring that stock is properly ordered, stored, and accounted for. Track stock levels and reorder as necessary.

  • Coordinate with Logistics: Ensure that deliveries and stock movement are managed efficiently, with the branch always having sufficient product to meet customer demand.

Site Visits and Travel
  • Travel to Local Locations: As the role requires the use of personal transport, the Branch Coordinator will frequently travel between branch locations, meet with clients, suppliers, or field staff, or conduct site visits.

  • Manage Regional Outreach: Coordinate community outreach efforts or local networking events that may require travel.

  • Perform Audits and Inspections: Travel to conduct audits or inspections of branch operations, staff, or facilities to ensure everything meets company standards.

Administrative Support

  • Document and File Management: Ensure that all documentation is properly filed, archived, and available for auditing purposes.

  • Assist with the implementation of office policies and procedures, ensuring compliance with company standards

  • Liaise with other departments to facilitate the flow of information and coordinate cross-functional projects

  • Provide general administrative support, such as ordering supplies, managing inventory, and maintaining office equipment

  • Contribute to the overall efficiency and productivity of the branch by identifying and implementing process improvements

What we're looking for

  • At least 1-2 years of experience in an administrative or office coordination role, preferably in the Office Management industry

  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines

  • Excellent communication and interpersonal skills, with a customer-focused approach

  • Proficient in the use of office software, including Microsoft Office suite and any relevant business software

  • Adaptable and flexible, with a willingness to take on a variety of tasks as needed

  • Attention to detail and a commitment to maintaining accurate records and documentation

  • Strong communication and interpersonal skills for managing staff and client relationships.

  • Ability to multitask, prioritize, and problem-solve effectively.

  • Organizational skills to keep the branch running smoothly.

  • A solid understanding of financial management, including budgeting and cost control.

  • Flexibility and adaptability to handle various tasks, from administrative duties to fieldwork.
