SUMMARY OF PROJECT SCOPE

The Project Staff will support the implementation of SQMO's initiative to strengthen institutional data management for key/strategic decision-makers. This initiative aims to develop user-centered systems, documentation, and structures that enhance access to accurate, aligned, and actionable data for strategic decision-making across the University. The project includes stakeholder consultations, data mapping, documentation (e.g., data dictionaries), and preparatory work for future data governance. The Project Staff will primarily assist with coordination, documentation, and monitoring of project activities under the guidance of the Data Management Head, and in close collaboration with the Strategy Mgt Head and other members of the SQMO Team.

Principal Accountabilities:

  • Coordinate communication with stakeholders and data owners

  • Support the data gathering, consolidation, and analysis of user requirements and feedback

  • Contribute to the preparation and updating of project documentation (e.g., data requirements table, user needs assessment, meeting minutes, reports)

  • Monitor timelines and deliverables to ensure alignment with the project work plan

  • Provide logistical and administrative support for stakeholder interviews and presentations

  • Collaborate with the Data Management Head and Strategy Head to ensure consistency in documentation

Project Deliverables:

  • Organized documentation logs and tracking sheets

  • Contributions to key deliverables (e.g., project reports, data dictionary, etc.)

  • Well-documented records of stakeholder consultations

  • Timely coordination of deadlines and meetings

Education:

  • Bachelor's degree in any of the following (or related) fields: Management Information Systems, Management, Economics, Business Administration, Psychology, Data Science, or Communications

Competencies:

  • Strong organizational and project coordination skills

  • Excellent written and verbal communication skills

  • Ability to manage timelines, documentation, and multitask across various project phases

  • Comfort with working in collaborative environments with various stakeholders

  • Proficient in spreadsheets and shared documentation tools (e.g., Google Workspace)

  • Detail-oriented, self-motivated, and proactive in adapting to evolving tasks

  • Exposure to data or research-related work is an advantage

  • Experience with dashboards is an advantage, but not required

Experience:

  • At least 1 year of relevant work experience in project management and support, systems analysis and design, business process management, coordination, or administrative roles

  • Experience working in a higher education, research, or data-focused environment is an advantage
