ESSENTIAL DUTIES AND RESPONSIBILITIES:
Master Subcontract Agreements
- Issue and reissue (as needed) master subcontract agreements (MSA's) by mail.
- Follow up with subcontractors on unreturned MSA's.
- Meet with the CFO to discuss any issues or disagreements as it pertains to MSA's.
- Scan and file hard copies of MSA's and enter information in to Company's accounting software.
- Perform any of the above duties for one of our current joint ventures.
Bid Coordination
- Post the job so other subcontractors can view the plans on-line and in the office.
- Upload and download applicable drawings.
- Set up the project in the computer software Smartbidnet.
- Order plans and specs for the job.
- Send out solicitations/invitations to bid on projects.
- Follow up through phone calls to see if certain subcontractors will bid on specific projects.
- Organize bids through electronic folders to ensure that the information is easy to find.
- Ensure that the Bid bond and Bid form are signed by an Okland executive.
- Pick up and drop off plans at the architect offices.
Subcontractor Relations
- Update the subcontractors' information in the computer software Smartbidnet.
- Enter the subcontractor evaluations in the company software Smartbidnet.
- Screen prospective subcontractors by ensuring they meet minimum Okland requirements, such as financial stability.
- Set vendors up using the W-9 form, including any necessary follow-up.
- Regular, timely, and predictable attendance is required for this position.
- Performs other duties and responsibilities as assigned.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
- Order lunches for bid team on bid day.
- Organize the training room on bid day by organizing tables, chairs, and other equipment.
- Apply for and renew all state contractor licenses in the company.
- Renew or file all annual reports, including state reports.
EDUCATION/EXPERIENCE REQUIREMENTS:
- Must have at least a high school diploma.
- Previous experience in the construction bidding and estimating area is preferred.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIREMENTS:
- Proficient in MC^2 estimating software, Excel, Microsoft word, and Outlook.
- Knowledge of basic construction work methods, techniques, and scopes.
- Ability to type at least 50 words per minute.
- Ability to communicate verbally and written in an effective and proficient manner.
- Ability to prioritize multiple tasks and be extremely organized.
- Ability to adapt to changes quickly and to excel at routine tasks.
- Is creative, innovative, resourceful, and motivated to exceed personal and company goals.
