Job DescriptionDescriptionAdmin Assistant
1. Primarily responsible to provide administrative assistance and support to the different HR and Admin functions:
To provide administrative assistance and support on the following areas:
- Benefits administration
- Employee and client coordination
- Client management, completion and collation of documents
- Timekeeping and attendance-related matters
- Recruitment - paper screening, candidate sourcing, and callouts
- Employee records filing and document inventory
- Employee engagement logistics needs
- Database management and simple reports
- Other admin tasks that may be assigned
2. To assist in other employee-related inquiries and concerns
3. Other duties and responsibilities that may be assigned from time to time:
- Ensure proper filing, keeping track of records, and management of client information and handle confidential client information with the highest level of discretion, in accordance with privacy laws and company policies.
- Coordinate with a third-party visa agency and establish clear communication channels, define roles and responsibilities, and ensure all parties have access to the necessary information and documentation.
- Provide answers to inquiries of clients regarding visa and work permit processing, providing clear guidance and solutions.
- Stay informed on updates to government regulations and ensure compliance with any changes affecting visa and work permit procedures.
- Continuously monitor and evaluate visa processing methods, contributing ideas for improved efficiency and process innovation.
- Other admin tasks that may be assigned.
- Bachelor's degree or any related course.
- Experience in visa processing and AEP processing is a plus.
- English verbal and written skills
- Discretion in handling confidential information.
- Proficiency in MS Office Applications (Word, Excel)
- Ability to manage multiple tasks effectively and meet deadlines.
- Detail-oriented with strong organizational and time-management abilities.
Monday to Friday/Saturday 8:00 AM to 5:00 PM
