POSITION SUMMARY
Talent Acquisition Coordination supporting assigned facilities. Under limited direction, and according to established policies and procedures, performs a variety of complex and specialized clerical functions within the Human Resource and Talent Acquisition department. Responsibilities include setting up and maintaining comprehensive employee records and files, preparing standard reports, gathering information from several sources, researching and reconciling errors, and entering data into a computerized Human Resource Information System (HRIS). Activities will vary depending on assignment.
As a customer-focused representative, must be accessible, flexible, knowledgeable and responsive to customers' and team members' requests.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provides administrative support to various functions within the department.
- Gathers, computes, inputs data; drafts standard memos/forms and types documents; organizes and maintains filing systems; prioritizes work flow; schedules appointments, meetings, and classes as assigned.
- Generates weekly Recruitment Reports for review and reference of recruiters, hiring managers and team utilizing HRIS.
- Manages end to end process for gathering and submitting documentation for Sign on Bonuses and Referral Bonuses payments.
- Tracks, processes and provides updates on referral and sign-on bonuses, to employees across payroll for timely payout.
- Maintains ongoing communication with Department Managers and Directors to ensure accuracy of requested reports.
- Follows up with the Recruitment Team on candidates with incomplete, ongoing or no schedule yet for OHS.
- Generates marketing related requests through Wrike Management for scheduled Hiring Events.
- Reconciles Hiring Event check-in list, candidate interest, open reqs, status of candidates; follows up with aligned recruiters on next steps. Follows-up with candidates who leave without being interviewed, those not selected to re-engage, keeps candidates warm that have pending offers. Reports out all event metrics the next day.
- Maintains Wrike management for events, hosted post, pipeline req creation and coordination with GBC on RSVPs.
- Generates adhoc facility reports; Filled requisitions, candidates interviewed, future starts, etc.
- Assists in recruitment activities such as but not limited to: candidate screening for high volume applications, setting up interview schedules and sourcing.
QUALIFICATIONS:
- Amenable to work in BGC, Taguig
- Willing to work in a night shift schedule
- Bachelor's degree preferred or equivalent combination of education and experience.
- At least 1 year of HR/TA Administration or Records Management Experience
- Ability to communicate effectively and build rapport within department
- Problem solving skills
- Oracle (Taleo/MYHR), Silkroad or other HRIS experience
