Expectations

To provide administrative support. Specific duties will include but are not limited to:

  • Deliver prompt and professional responses to client inquiries.
  • Maintain and update CRM systems efficiently.
  • Provide robust administrative support to optimize operations.

Qualifications and Requirements:

  • Bachelor's degree or equivalent experience in a relevant field.
  • Proficient in CRM platforms, particularly Capforce and Salesforce.
  • Expertise in MS Office, including Outlook, Excel, Word, and PowerPoint.
  • Prior experience in customer service or administrative roles.
  • Preference for candidates with experience in the real estate field and knowledge of real estate terminologies.

Key Accountabilities

Client Buyer Enquiries

  • Respond to and manage client inquiries with accuracy and timeliness.
  • Maintain strong client relationships through high-quality communication and service.

CRM System Management:

  • Update and maintain data integrity in Capforce and Salesforce.
  • Generate reports and analytics to support business needs.
  • Assist in system troubleshooting and user support.

Administrative Tasks

  • Organize meetings, manage calendars, and coordinate schedules using MS Outlook.
  • Prepare and format documents, presentations, and correspondence using MS Word, Excel, and PowerPoint.
  • Assist in project coordination and task tracking.

OTHER

  • Other duties within safety and competency parameters, as directed by your assigned Manager, from time to time.
    • Conduct all activities in accordance with the Company's Quality management system.

Key Performance Indicators

Knowledge

  • Response time and resolution rate for client inquiries.
  • Accuracy and timeliness of CRM data updates.
  • Quality and efficiency of MS Office-based administrative support provided.

Skills

  • Demonstrated time management skills, with proven ability to deliver results within deadline.
  • Demonstrated customer service skills, with the ability to communicate effectively with a diverse range of internal and external clients.
  • High computer literacy skills.
  • Excellent verbal and written communication skills.
  • Proactive and able to take initiative.
  • Highly adaptable and flexible in taking on different tasks.
  • Strong ability to absorb instructions and follow through effectively.
  • Analytical and critical thinking skills.
