Job Purpose
The Crewing Specialist is responsible for facilitating the efficient and compliant management of crew members within a maritime or shipping company. The role involves coordinating various aspects of crew assignments, documentation, and compliance to ensure the smooth functioning of crewing operations.
Key Accountabilities
- Leadership in Crew Management: Lead and coordinate crew assignments, travel arrangements, and effective communication with crew members. Provide strategic oversight to the crewing team, ensuring alignment with organizational objectives.
- Crew Coordination: Collaborate with scheduling teams to ensure crew assignments align with vessel schedules. Communicate any changes in crew assignments promptly to both crew members and scheduling departments.
- Dispatch and Documentation Excellence: Oversee the completeness and accuracy of crew dispatch documentation, including embarkation forms, visas, and travel permits. Ensure the timely submission of all necessary documentation for crew dispatch.
- Engagement Proposal Generation: Prepare engagement proposals for crew members. Ensures that engagement proposals align with the company's policies, industry regulations, and any relevant collective bargaining agreements.
- Visa and OKTB Management: Initiate and manage the process of requesting and obtaining OKTB and visa requirements for crew members based on their assigned voyages and destinations.
- Port and Travel Agent Communication: Establish and maintain communication with port authorities to facilitate seamless crew embarkation and disembarkation processes and liaise with travel agents to coordinate travel arrangements for crew members.
- Medical Renewal Process: Coordinate with medical facilities for crew member medical examinations and renewals in compliance with industry standards and Schedule and follow up on medical appointments for crew members to ensure timely completion of required medical examinations.
- Efficient Crew Database Management: Lead the regular update and maintenance of the crew database, ensuring accuracy of personal details, certifications, and contact information.
- Strategic Leadership and Oversight: Provide leadership and oversight to an assistant crewing analyst, guiding them in their daily tasks, prioritizing workload, and ensuring alignment with departmental goals.
- Proactive Problem Solving: Act as a proactive point of contact for the team, offering guidance and support in addressing complex issues and challenges in crewing operations.
- Training and Development Champion: Champion the training and development of the crewing team, ensuring continuous improvement and acquisition of necessary skills.
- Reporting and Analytics: Generate and present comprehensive reports and analytics from the crew database as required by management and other relevant departments.
Qualifications, Knowledge and Skills
- Education: Educational background in maritime studies, business administration, or a related field.
- Industry Knowledge: In-depth familiarity with maritime regulations and industry standards.
- Experience: 5 years' experience in crewing operations is essential. This involves coordinating crew assignments, managing documentation, and ensuring compliance with regulations.
- Technical Skills: Highly proficient in MS Office Suites (Excel, Word, Outlook, PowerPoint)
- Communication Skills: Excellent communication skills to effectively interact with crew members, management, and other departments. This includes the ability to conduct briefings, handle crew concerns, and facilitate clear communication.
- Organizational Skills: Strong organizational skills to manage crew schedules, documentation, and various administrative tasks efficiently.
- Problem-Solving Abilities: Ability to handle unexpected challenges, emergencies, and incidents involving crew members with a calm and effective approach.
- Analytical Skills: Strong analytical and problem-solving skills with the ability to critically evaluate complex processes and systems.
