POSITION SUMMARY

To provide administrative support for Sales/Events Executive/Managers acting as reactive sales and provide an extremely high level of professional expertise and customer focus to all acquisition, retention and development clients which in turn maximizes event revenue and profitability. Provides servicing and implementation of all confirmed group and events.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Job Responsibilities
    1. To follow Solaire Standards when assisting Executive/Managers/Senior Managers, acts as reactive sales by planning and qualifying all business leads from Executive/Managers/ Senior Managers.
    2. Handles servicing and implementation tasks for all confirmed events and groups.
    3. Responsible for organizing all necessary arrangements for all internal events.
    4. Performs tasks as lead catcher, onsite sales representative and re-active sales.
    5. Handles proposals, follow ups, site inspection and contracting if necessary to convert business leads.
    6. To fully and correctly use the Hotel Sales and Catering system (Opera & Salesforce).
  1. Customer Service
    1. To provide courteous and professional service to our internal customers in other departments.
    2. In the absence of the Sales Executive/Managers, responds to all telephone calls or inquiries. Ensures information/messages are accurately received and relayed to the concerned team members in a timely manner.
    3. Handles execution and servicing of the confirmed groups and ensures all commitments are provided.
    4. Maintains good relationship with the established clientele and provides all necessary assistance when required.
    5. Liaises and works closely with related operating departments ensuring guests requests and expectations are met.
  1. Administration
    1. Ensures that an efficient and accurate filing system, both manually and electronically, is maintained at all times.
    2. To maintain complete records of all Letters of Agreement and quotes for the hotel.
    3. Establishes an efficient trace file to ensure that all business booked, and requirements are properly tracked.
    4. Assists in preparing sales reports and others as required by the DOSM.
    5. To maintain brand standards in all presentation materials, proposals and utilize the correct photography when preparing all forms of client presentations.
    6. Assists/participates in sales blitzes and other client relationship activities.
    7. Liaises and works closely with related operation departments to ensure guest needs and expectations are met.
  1. General
    1. To attend (and prepare for) a daily briefing, MICE meetings and any other meetings as required.
    2. To support the implementation of our Vision and Mission Statements, demonstrating and reinforcing Solaire's Core Values and Service Standards.
    3. To read Solaire's Code of Good Behavior and have an understanding of and adhere to the resort's rules and regulations.
    4. To attend training sessions when required.
    5. To carry out any other reasonable duties and responsibilities as assigned.

Job Requirements

  1. Education

    • Candidate must possess at least a Bachelor's degree in Hotel Restaurant Management, Tourism, Business Studies or Administration/Marketing/Management or any related field.
  2. Work experience

    • Background in hotel sales and events is an advantage.

    • At least 1-2 years progressive work experience in hotel/events sales/food & beverage/front office or any industry related to customer service.

Relevant skills

• Record keeping skills.

• Adaptable and flexible to different situations with the ability to multi-task and work under pressure.

• In-depth understanding of hotel sales functions i.e., account qualification, target selection, negotiation, presentation, account/relationship management, servicing.

• Excellent communication and interpersonal skills.

• Excellent sales presentation and negotiation skills.

• Driven and passionate in delivering exceptional customer service.

• Proficient in basic computer programs needed in hotel operations, i.e., MS Applications and hotel sales systems such as Opera and a Sales and Catering System (Salesforce or Opera).
