Overview

The Senior Procurement Specialist role within Manulife's Contingent Workforce Program is responsible for the day-to-day activities of the SOW program. The role covers SOW setup, ensuring consistency with contract terms, and managing activities through to payments and service completion. This role supports the SOW business and assists People Leaders globally with SOW setup, resource onboarding and offboarding, project and assignment management, invoicing, customer support, training, and related activities with varying degrees of complexity and sensitivity.

Responsibilities
Operational Excellence
  • Successful achievement of service level agreements (SLA) for SOW intake with accuracy of detailed intake for all requirements.
  • SOW Fulfilment & Management: manage requirements released to ensure timely action.
  • Requirement Feedback/Communication: provide updates on the status of open requirements and detailed feedback to internal partners and suppliers regarding requisition priority, submittal/feedback status, and next steps.
  • Resource On/Offboarding
  • Resource Assignment Management
Relationship Management
  • Tier 1 support training and subject matter support
  • Strong customer service orientation
  • Maintain, influence and develop relationships with People Leaders, internal stakeholders and partners as well as third-party vendors
  • Manage expectations through timely feedback and proactive communication
  • Excellent interpersonal skills (written and verbal) with the ability to interact with all levels
Payments Management
  • Manage timely invoicing of milestones, time and expenses within each SOW to minimize aging
  • Ensure all milestones, time and expenses are entered and approved by all parties by the required deadline
  • Consolidate invoices in the VMS and prepare invoice file summaries for approval
Required Qualifications
  • 3-5 years in customer support, helpdesk, technical or vendor management support roles
  • Familiarity with SAP Fieldglass or other vendor management systems
  • Familiarity with contingent workers or professional services, invoicing and payment, vendor billing, onboarding/offboarding of contingent workers in Fieldglass
  • Excellent communication and customer service skills
  • MS Office proficiency
Preferred Qualifications
  • Working knowledge of SAP Fieldglass modules (Contingent Workforce, Services Procurement)
  • Basic troubleshooting and issue resolution skills
  • Ability to explain technical concepts in simple terms
  • Analytical thinking to identify root causes
  • Takes initiative and can work independently
