JOB DESCRIPTION FOR AN EXECUTIVE ASSISTANTYour Responsibilities as an Executive Assistant would include:
- Independently perform a full range of varied complex, sensitive, highly responsible, and confidential office administrative, secretarial, advanced clerical, and routine programmatic support functions in support of assigned programs, division, and/or department with only occasional instruction or assistance.
- Plan and organize work activities; recommend improvements in workflow, procedures, and use of equipment and forms; implement improvements as approved.
- Calendar Management: Efficiently schedule and manage appointments, meetings, and conferences to optimize the executive's time.
- Email Management: Monitor, prioritize, and respond to emails on behalf of the executive and draft professional correspondence as needed.
- Research and Reporting: Work with data, research on various topics, compile information, and prepare reports and presentations as required.
- Task Prioritization: Assist in identifying and prioritizing tasks and projects, ensuring deadlines are met.
- Data Management: Organize and maintain electronic files, databases, and documents.
- Communication: Act as a liaison between the executive and internal/external stakeholders, ensuring effective communication.
- Expense Management: Track expenses, prepare expense reports, and reconcile receipts.
- Graduate of any Bachelor's Degree.
- Minimum of 2-3 years of work experience as an Executive Assistant or other similar administrative support experience is strongly preferred.
- Proficiency and proven hands-on experience with office management systems.
- Preferably with experience on Quickbooks and project management & preparing project proposals.
- Exceptional communication and written skills.
- Extensive knowledge of principles and practices of office administration.
- Proven hands-on experience exercising discretion and confidentiality with sensitive company information.
- Top-notch organizational skills with an ability to think proactively, multitask and prioritize daily workload.
- Exceptional conceptual thinking, resourcefulness, diligence, attention to detail, and creative problem-solving skills.
- Highly organized with the ability to work with limited supervision.
- Adept at meeting deadlines in a fast-paced quickly changing environment.
- Technologically proficient, social media savvy, and has in-depth knowledge of online calendars and/or cloud systems.
- Exceptional time management, leadership, and organization skills.
- In-depth knowledge of principles of business letter writing and report preparation.
- Advanced knowledge of records management principles and procedures including record keeping and filing principles and practices.
- Exceptional knowledge of methods and techniques of proper phone etiquette.
- A team player with the initiative to step up into leadership responsibilities when the need arises.
