We are seeking a proactive and organized Administrative and Marketing Support Specialist to assist with daily operations, financial administration, and digital marketing efforts. This role is perfect for someone with experience supporting small businesses and a knack for managing both administrative and marketing tasks. If you are detail-oriented, tech-savvy, and a great communicator, we'd love to have you on our team

Key Responsibilities

  1. Administrative Support:
    • Oversee onboarding for new sub-contractors, including forms, agreements, email setups, and folder organization.
    • Manage client and partner documentation, including templates and Docusign processes.
    • Organize and maintain digital filing systems.
  2. Financial Administration:
    • Create and send monthly invoices in Xero, and follow up on outstanding payments.
    • Handle bill payments, including Super, PAYG, and BAS obligations.
    • Collaborate with external bookkeepers to ensure accurate financial records.
    • Set up and manage invoice and payment tracking spreadsheets.
  3. Calendar and Meeting Management:
    • Own and update the team calendar, ensuring meetings are scheduled efficiently.
    • Coordinate meetings for co-founders with new clients or partners.
  4. Digital Marketing:
    • Draft and upload blog posts to the website (SquareSpace) in alignment with brand tone, with final approval from the co-founders.
    • Schedule and upload social media posts across LinkedIn, Instagram, and Facebook using provided templates and calendars.
    • Manage communications and engagement on social platforms.
  5. CRM Management:
    • Set up and manage the company's CRM system for efficient client and partner communication.

Must-Have Qualifications

  • Proven experience supporting small businesses, including administrative tasks and financial operations.
  • Familiarity with social media and digital marketing tools and platforms.
  • Proficiency in CRM systems and tools like Xero and SquareSpace.
  • Strong organizational and time-management skills, with attention to detail.
  • A responsive, friendly demeanor that reflects our brand values.
  • Excellent communication skills, both written and verbal.
