The Personal Executive Assistant with Household Management is a key support role responsible for providing high-level administrative and personal assistance to the executive and their family. The successful candidate will be adaptable, organized, and capable of managing both business and household-related tasks efficiently. This position requires relocation to Hong Kong, with all expenses paid. The role also includes insurance, housing, meals, and travel arrangements.

Key Responsibilities:

Executive Assistance:

  • Manage the executive's calendar, schedule appointments, meetings, and events, ensuring all logistics are taken care of efficiently.
  • Assist in prioritizing daily itineraries and to-do lists for the executive, ensuring optimal time management.
  • Handle email and phone communication on behalf of the executive, ensuring timely responses and follow-ups.
  • Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring all travel preferences are met.
  • Handle confidential matters with discretion, including sensitive personal and professional information.
  • Organize and maintain the executive's personal and professional files, documents, and records.
  • Prepare meeting agendas, take minutes, and ensure follow-up on action items from meetings.

Household Management:

  • Oversee daily household operations, including supervising household staff (e.g., housekeepers, cooks, drivers, gardeners), ensuring tasks are completed on time and to a high standard.
  • Manage the scheduling and coordination of home maintenance and repair services, keeping the household in optimal condition.
  • Plan, organize, and oversee family events, gatherings, and special occasions, coordinating vendors, invitations, and logistics.
  • Maintain the household budget, manage financial accounts related to household expenses, and ensure timely bill payments.
  • Organize grocery shopping, meal planning, and dietary preferences for the household, ensuring all needs are met.
  • Manage household inventory, ensuring there are no shortages of essential supplies.

Qualifications:

  • Education: Bachelor's degree (4-year graduate) in Psychology or Early Childhood Education is preferred.
  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar household management role.
  • Strong organizational, time-management, and multitasking skills.
  • Excellent written and verbal communication skills, with the ability to interact effectively with diverse individuals.
  • Ability to handle confidential and sensitive information with discretion.
  • Proficient in Microsoft Office Suite and household management software.
  • Ability to work flexible hours, including weekends or evenings as required by the family's schedule.
  • Prior experience with household management, budgeting, and staff supervision is highly preferred.
  • Willingness to relocate to Hong Kong and adapt to a new environment.

Language Advantage: Proficiency in Mandarin is an advantage, as it will facilitate communication in a Mandarin-speaking environment.
