Senior Project Operations Officer

JOB DESCRIPTION
The Senior Project Operations Officer provides support in the execution and monitoring of project operations within the organization. Under the guidance of senior project managers and officers, this role focuses on assisting in project planning, coordination, resource management, and reporting. The Senior Project Operations Officer will help ensure that projects are executed efficiently, on time, and in alignment with organizational goals and quality standards.
Key Responsibilities:
- Project Planning and Coordination:
- Assist in the development and implementation of project plans, including defining project scope, objectives, deliverables, and timelines.
- Coordinate the activities of project teams, ensuring that tasks are completed on time and within budget.
- Ensure that project documentation, including plans, reports, and budgets, are accurately prepared, updated, and stored in accordance with organizational standards.
- Coordinate with the Business Development Department and Finance and Admin Department in the performance of tasks, as needed;
- Progress Monitoring and Reporting:
- Assist in tracking project milestones and progress to ensure that deadlines are met.
- Assist in preparing and updating project status reports, highlighting any delays or issues.
- Support the preparation of presentations or progress updates for project teams and stakeholders.
- Responsible for editing, formatting and packaging of project reports.
- Communication and Stakeholder Engagement:
- Assist in preparing office correspondence, endorsements, memoranda, and other official documents prior to submission to the VP for Project Operations and other senior executives, including the Chairman and President, and the Chief Operating Officer, for approval;
- Assist in coordinating communication between internal teams, contractors, and external stakeholders.
- Help organize and schedule project meetings, prepare agendas, and document meeting outcomes, handle project-related correspondence, and manage office supplies.
- Act as a point of contact for internal teams on project-related inquiries.
- Resource and Documentation Management:
- Help manage and maintain project files, including contracts, project description sheets, master list, and compliance paperwork.
- Assist in resource scheduling and coordination (e.g., personnel, materials, and equipment) to meet project requirements.
- Assist in monitoring the availability and allocation of resources, ensuring no conflicts or shortages.
- Quality and Compliance Support:
- Assist in ensuring project activities align with company policies, procedures, and regulatory requirements.
- Support senior officers in ensuring that quality standards are maintained throughout the project lifecycle.
- Help with the preparation of quality control and audit documentation.
- Assistance in Risk Management:
- Assist in identifying potential risks and issues that may affect project timelines or outcomes.
- Help in the development of risk mitigation plans and assist with the implementation of corrective actions.
- Learning and Development:
- Participate in project management training and development activities to enhance knowledge and skills.
- Work closely with senior project operations officers to learn project management best practices and methodologies.
- ISO Support Activities:
- Assist in ISO-related activities/tasks including, but not limited to, the following:
- Facilitating the accomplishment of the Client Satisfaction/Project Completion/Consultants' Evaluation forms; and
- Conduct of internal audit;
- Other Duties:
- Perform other tasks as may be required by senior management to support the smooth implementation of projects.
QUALIFICATION
- 3 years of work experience
- Experience in project management/project coordination and report writing
- Bachelor's degree in Civil Engineering or related field
- Strong analytical and critical thinking skills
- Good writing and communication skills
- Multi-tasking ability is highly preferred
