So, what’s the role all about?
NICE, Manila is looking for an experienced and self-motivated Office & Facilities Manager with solid work experience in office administration. The successful candidate should be able to do a wide range of administrative and management tasks thereby ensuring successful day-to-day Facilities operations as well as efficient coordination and management of company resources as needed.
The Office & Facilities Manager must be comfortable discussing strategic matters and operating at a tactical level, simultaneously acting as an internal ambassador, mentor, analyst, implementer, and cost controller.
He/she shows sound business judgement and makes high velocity decisions to continually raise the bar for customer experience. The Office & Facilities Manager works with internal and/or external partners to ensure facility(s) and/or program(s) is aligned with organizational objectives.
How will you make an impact?
- Provides strategic direction to facilities management team (direct reports and outsourced vendor teams) who oversee facilities operations which are operating at 24/7.
- Ensures a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.
- Ensures that the Facilities Management and Real Estate Services are performed and delivered in accordance with contracts, global and regional KPIs.
- Responsible for the management of routine maintenance, repairs, office cleaning and upkeep in line with COVID-19 safety protocols.
- Creates easy-to-follow standards, protocols, procedures (i.e. employee handbook, procedures books/guides, etc.)
- Space management and internal moves. Ensure smooth data gathering and understanding of future demand for space.
- Act as key point of contact with cleaning company, cafeteria services and other key personnel in the multi tenanted building including security, ground floor reception, contractors and engineers.
- Implement office processes and procedures in line with NICE global policies and requirements.
- Coordinate bookings of large office meetings, trainings, catering, and office events.
- Carry out the New Starter Induction process for all new employees starting in Manila.
- Identify and evaluate suppliers for office equipment (working closely with the Purchasing department) as due diligence.
- Occupational Health & Safety standards are fully implemented and maintained.
- Manage CAPEX/OPEX budgets, variances, and ensure cost efficiency.
- Track ESG & sustainability metrics (waste reduction, energy efficiency, green audits).
- Familiarity with ISO 14001, health & safety, or sustainability frameworks (preferred).
- Ensure the Manila office is compliant with local statutory requirements (DOLE, Fire Safety, Building Codes).
- Generate regular reports on facilities, electromechanical performance, vendor scorecards, and budget status.
Technical / Electromechanical Skills
- Knowledge of HVAC, UPS, DG sets, fire safety systems, BMS, CCTV and Access Control Systems.
- Familiarity with Philippine building codes and statutory compliance.
- Strong vendor management and PPM scheduling experience.
- Proficiency in MS Office (Excel, PowerPoint) and CAFM/workplace tools.
Customer Obsession & Business Partnering
- Develop and manage strong relationships with key business stakeholders.
- Communicate strategies for the sites with business stakeholders, whilst monitoring and translating feedback into actionable tasks.
- Be the primary point of contact for business customers.
Property/Portfolio Management
- Maximize the potential of the building portfolio while improving space utilization, ensuring assets are kept in good order and business needs are met.
- Work together with NICE Global Real Estate Manager to liaison with the landlord, lease relationships and sub-tenants (where applicable), lease administration team, and Transaction Managers.
Project Management
- Ensure that the premises are properly utilized as designed and projects meet agreed upon timelines and budgets that moves/post occupancy projects are carried out efficiently and that the necessary approvals are obtained.
- Oversee new building openings, expansions and significant post occupancy projects working together with the Workplace design & Construction team and vendor partners to meet project scope.
- Work together with the Transaction team on decommission strategies throughout the business and execute for responsible countries.
Reporting & Compliance
- Generate regular reports on facilities, electromechanical performance, vendor scorecards, and budget status.
- Ensure compliance with Philippines labor, safety, and building regulations.
- Support ISO 14001 and sustainability certifications through energy audits and waste management initiatives.
Have you got what it takes?
- A minimum of 10-15+ years professional experience out of which 3+ years of experience should demonstrate success in managing a property and facilities organization of similar size and complexity and building/maintaining relationships with internal customers.
- Experience in administration in a global high-tech company – an advantage.
- A team player - excellent interpersonal and communication skills
- Good computer skills including MS Office (Outlook, Word, Excel, PPT)
