Position Overview We are seeking a highly organised and proactive Executive Assistant to support our executive team with high-level administrative functions, business development coordination, and office management. This role is essential to maintaining smooth operations and ensuring effective communication within and outside the company. Key Responsibilities Provide comprehensive administrative support, including calendar management, travel arrangements, and preparing reports. Coordinate and prepare business proposals and support business development (BD) activities by organising market visits and client meetings. Oversee office operations , ensuring a well‑organized, efficient workspace. Organise and prepare for internal and external meetings, ensuring agendas are set and materials are distributed in advance. Maintain and manage records, files, and documents, ensuring easy access and confidentiality. Act as a liaison between executives, clients, and internal teams, upholding professionalism and confidentiality. Collaborate with various departments to streamline processes and support project requirements. Support in tracking project timelines, deadlines, and other key milestones. Qualifications Minimum of 3-5 years of experience in an Executive Assistant or similar role, preferably in the building construction industry or consultancy. Strong organizational and multitasking abilities with meticulous attention to detail. Proficiency in MS Office; experience with CRM or project management tools is an advantage. Excellent written and verbal communication skills. Ability to work independently and as part of a collaborative team. Familiarity with industry standards, terminology, and practices within the construction or engineering consultancy field.
