We are seeking a Senior Admin and Facilities Manager who will lead the strategic and day-to-day management of our Alabang site, ensuring seamless workplace operations, compliance, and employee experience. This role is key to sustaining a professional, safe, and engaging work environment that supports both our people and our business goals. Role Overview The Senior Admin and Facilities Manager oversees the full spectrum of administrative and facility operations, including site maintenance, vendor and contract management, space planning, safety compliance, procurement, and general services. This role serves as the central point of coordination for workplace excellence—balancing operational efficiency with cost optimization, and ensuring every touchpoint of the employee experience within our Alabang site reflects eClerx’s standards of quality and professionalism. Key Responsibilities Facilities & Operations Management Oversee day-to-day site operations including building maintenance, housekeeping, utilities, cafeteria, security, and transportation services. Develop and implement preventive maintenance and sustainability programs. Ensure facilities comply with all local laws, building codes, and health and safety regulations. Manage repairs, renovations, and capital improvement projects to maintain operational continuity. Administrative Management Lead administrative functions such as procurement, asset management, vendor contracts, and documentation control. Monitor office supplies, equipment, and administrative budget allocations. Ensure administrative processes and policies are efficient, compliant, and aligned with business needs. Oversee mailroom, courier services, and front office operations. Prepare and manage annual budgets for administration and facilities. Source, evaluate, and negotiate contracts with vendors and service providers. Track expenses and identify cost-saving opportunities while maintaining service quality. Health, Safety & Security Implement safety programs, risk assessments, and emergency response protocols. Partner with EHS teams to ensure compliance with workplace safety and sustainability standards. Oversee security operations and ensure a safe environment for all employees and visitors. Workplace & People Experience Drive initiatives that enhance the employee workplace experience—ensuring spaces are conducive to collaboration, productivity, and engagement. Coordinate with HR and IT on office moves, expansions, and seating plans. Support events, activities, and engagement initiatives that build a positive workplace culture. Lead, mentor, and develop a team of administrative and facility professionals. Partner cross-functionally with HR, IT, Operations, and Finance to ensure alignment with business priorities. Serve as the key liaison with senior leadership on site performance, risks, and improvements. Qualifications & Experience Bachelor’s degree in Business Administration, Facilities Management, Engineering, or related field. 8–10 years of experience in Administration and Facilities Management, with at least 3 years in a leadership capacity. Experience in managing large corporate sites or BPO environments preferred. Strong knowledge of building systems (HVAC, electrical, mechanical, and safety). Proven expertise in vendor management, procurement, budgeting, and compliance. Excellent leadership, communication, and stakeholder management skills.
