Job Description

PHILIPPINE COLLEGE OF CRIMINOLOGY is currently looking for a Document Controller/QA/QC to handle the intake, management, and storage of our company documents. In this role you will review, process, and file documentation as well as manage the smooth running of documentation operations. You will monitor and evaluate internal processes, determine their quality, engage with students, and gather feedback, among other duties. A detail-oriented mindset and up-to-date knowledge of document management processes are required. Must have an extensive understanding of document management systems and be able to handle document access, intake, and archiving responsibilities.

Responsibilities (Document Controller)

• Handling intake, scanning, verification, and storing documents
• Filing and archiving relevant documentation
• Retrieving files for staff and customers when needed
• Designing templates for documents, file types, and document databases
• Checking and editing documents for accuracy and compliance
• Controlling the flow of documents in and out of the department
• Reporting errors or developments regarding document storage
• Ensuring secure destruction and disposal of sensitive documents
• Updating and maintaining document management systems and physical records
• Maintaining the security of confidential documents
• Assisting employees with accessing documents via the document management system
• Developing quality control processes
• Engaging with students and gathering product feedback
• Producing statistical reports on quality standards
• Improving efficiency

Requirements

• Bachelor’s degree in business administration, industrial engineering or similar
• 1–2 years of experience in document management, archive management, or records management
• Proficient in Microsoft Office
• Strong typing and report writing skills
• Detail-oriented and organized
• Familiarity with regulations on document keeping and handling
• Time-management skills
• LEAN SIX SIGMA CERTIFICATE (preferred)

Salary: Php20,000.00 – Php25,000.00 per month
