Job Summary We are seeking a detail‑oriented and proactive Data Entry Specialist with at least 3 years of experience , including working with US‑based clients , to manage critical patient and operational data remotely. This role will primarily work with HighLevel CRM (GoHighLevel) and other clinic management tools to ensure accurate, HIPAA‑compliant records, support automated workflows, and enable seamless multi‑location operations. Responsibilities Accurately input patient information, appointment details, medical records, and billing data into HighLevel CRM and other electronic systems. Maintain and update existing patient records to ensure accuracy and completeness across multiple clinic locations. Utilize HighLevel CRM automation workflows for appointment reminders, follow‑ups, and marketing campaigns while maintaining data integrity. Generate and maintain reports to support operational and clinical management decisions. Collaborate with clinical, administrative, and marketing teams to resolve discrepancies in data. Conduct periodic audits of CRM and internal databases to ensure compliance and data quality. Maintain strict confidentiality of patient and company information in compliance with HIPAA regulations. Support US‑based teams and clients by following their processes, schedules, and communication standards. Assist with other administrative tasks to support smooth clinic operations. Requirements High school diploma or equivalent; associate’s degree preferred. Minimum of 3 years of experience in data entry, administrative support, or medical records management. Proven experience working with US‑based clients in a remote capacity. Demonstrated high productivity in data entry tasks, consistently meeting or exceeding accuracy and output targets. Experience using CRM systems , preferably HighLevel (GoHighLevel) or similar platforms. Strong attention to detail and accuracy, with excellent organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn clinic‑specific software. Excellent communication skills and ability to collaborate across multi‑location teams in different time zones. Commitment to maintaining confidentiality and adhering to HIPAA compliance.
