You’ll ensure smooth operational processes across the employee and candidate experience—while also translating real user feedback into clear product improvements across our HR, recruiting, and client‑facing tools. Example day in this role might include: Morning: planning with the software team, grooming the backlog, writing user stories, and aligning on success metrics. Midday: jumping on calls or chats with clients, recruiters, and HR users to troubleshoot issues, provide HR/recruitment support, and capture feedback about what’s working (and what’s not). Afternoon: validating fixes and new features, updating documentation, and sharing structured feedback with engineering and design to drive the next iteration. This position is ideal for someone who enjoys blending people operations with product thinking—using administrative precision, analytical skills, and empathy for users to improve how the organization operates. Key Responsibilities HR, Recruitment & Client Support (User Discovery) Assist in end-to-end HR and recruitment operations including onboarding, documentation, benefits administration, and offboarding—so you deeply understand user workflows. Serve as a key point of contact for client inquiries, ensuring timely, professional, and accurate responses; escalated and triage issues effectively. Support client onboarding and maintain smooth communication channels; capture and categorize client/user feedback for product discovery. Maintain client documentation and support materials to ensure consistent service quality and up‑to‑date guidance. Product & Systems Coordination Collaborate with the software development team to plan projects, define requirements, and maintain a prioritized backlog in our PM system. Provide structured feedback on system usability, employee/candidate interfaces, and client‑facing workflows; turn feedback into clear user stories and acceptance criteria. Identify recurring operational pain points and recommend improvements through automation, UX enhancements, or process redesign. Test and review HR/recruitment automation tools; perform UAT and coordinate sign‑off with stakeholders. Monitor and document process and product performance metrics (e.g., time‑to‑hire, onboarding cycle time, support resolution time) to support continuous improvement. Cross‑Team Collaboration Act as a bridge among HR, Recruitment, Finance, Customer Support, and Tech—ensuring user needs are translated into actionable system improvements. Coordinate change management: release notes, training sessions, short loom/video walkthroughs, and help‑center updates. Track feedback loops end‑to‑end: from issue intake → prioritization → delivery → validation → measurable outcomes. Compliance and Documentation Ensure consistent application of company policies, procedures, and government regulations in product and process design. Maintain accurate and organized digital filing systems for HR‑related documentation. Support internal audits and data accuracy checks across HR and operations systems. Qualifications Bachelor’s degree in Business Administration, Human Resources, Psychology, Information Systems, or a related field. 3–5 years of experience in HR operations and/or Recruitment and hands‑on work with HR tech/SaaS tools (product, ops, or admin capacity). Familiarity with Philippine labor laws and compliance requirements (SSS, PhilHealth, Pag‑IBIG, BIR, etc.). Strong organizational and communication skills with high attention to detail; comfortable facilitating calls and synthesizing feedback. Experience with HRIS platforms such as Sprout or similar tools; exposure to ATS/CRM workflows is a plus. Comfortable working with digital workflows, AI/automation tools, and data‑driven reporting; basic proficiency with spreadsheets and analytics. Bonus: Experience writing user stories/acceptance criteria, doing UAT, or using tools like Figma for light prototyping. Demonstrated ability to work independently in a remote environment and collaborate with cross‑functional teams. Success Metrics (What Good Looks Like) Reduced support volume or faster resolution times for common user issues. Measurable improvements in key HR/recruitment cycle times (e.g., onboarding completion, time‑to‑hire). High adoption and satisfaction scores on released features (validated via surveys or usage analytics). Clear, consistent documentation and release communication that reduces confusion and rework.
