Position Summary The Plan Manager Support Officer assists the NDIS Management Team to engage with NDIS clients, process invoices, and perform other support and administrative tasks. The role requires a warm, caring approach, excellent listening and written communication skills, and the ability to handle multiple tasks with competing deadlines. Key Responsibilities Process and reconcile invoices with high accuracy, ensuring compliance with client NDIS funding agreements, company policies, and NDIS guidelines. Assist the team in engaging with NDIS participants, respond to inquiries, help participants understand their funding and provide timely information via phone and email. Resolve invoicing and provider issues, update participant profiles and notes in the CRM database (Careview). Provide advice on funding categories and periods. Maintain updated knowledge of company processes, policies, services, and NDIS legislation. Perform general administration, data entry, and reporting tasks as requested by managers. Maintain accurate participant and funding records in the CRM system; conduct regular audits to meet regulatory requirements. Assist in preparing progress reports on participant outcomes. Required Skills and Experience Knowledge of NDIS regulations and guidelines, including funding categories, periods, service agreements, and compliance requirements. Strong technical proficiency in CRM systems and financial management tools for tracking participant plans and budgets. Problem‑solving skills to address participant and service‑related challenges effectively. Excellent communication and people skills to build relationships with participants, families, and stakeholders. Strong time‑management and multi‑tasking skills; attention to detail and prioritisation. Self‑motivated, team player who can work independently and deliver timely outcomes. Ability to work with diverse customers and stakeholders, including people with disability, cultural diversity, and additional languages. Qualifications and Experience Completion of secondary education; preferably a degree or diploma with relevant work experience. Experience in administration, customer service, bookkeeping or accounting, data entry and management systems considered an advantage. Fluent English; fluency in a second language is an advantage. Experience with Microsoft 365 Office Suite (Outlook, Teams, Excel, PowerPoint) and customer/business management systems.
