Sales Admin Assistant

JOB DESCRIPTION
1. Books sales thru MAS 500 for the Sales segment assigned to, includes preparation of other documents as needed (e.g. override forms, etc.)
2. Ensure accuracy and completeness in booking of sales order for all receipt of Purchase Order (PO).
3. Ensure timely updating of deliveries and quotations to provide Salesmen accurate feedback.
4. Coordinate with sales team and finance department regarding on-hold customer, advances, collection receipts and invoices.
5. Handle and prepares proforma invoices, rebates and Credit Memo Applications.
6. Follow up payments and other important documents such as BIR 2303, withholding tax etc. on timely manner from customers.
7. Performs administrative functions such as,
a. Filing of files and SOs
b. Proper upkeep of records
c. Ensure that files of the Sales segment assigned to is updated and complete
d. Answer and screen calls
e. Follow-up on phone calls and customer inquiries
f. Maintain directory of customers, etc.
8. Makes reports, letters, and quotations when directed.
9. Assists in the monitoring and follow-up of:
a. Sales orders
b. Deliveries
c. Collections
10. Ensure that all customers' queries and concerns are communicated to concerned
Salesman and feedback is given to customers most of the time.
11. Provide feedback to Salesmen on significant development and updates regarding Sales matters.
12. Handles cancellations or changes in sales orders and coordinate to the Logistics Dept./ regarding closed purchase orders.
13. Ensure and follow safety procedures and policies at all times
14. Performs other sales related duties that maybe assigned by the VP for Sales/Sales Managers/Supervisors from time to time.
