Overview
The Ortus Club is a B2B marketing company specializing in virtual and in-person knowledge-sharing discussions. Our experienced team runs approximately 50 events a month, bringing together senior executives and thought leaders across various industries. We operate as a young, multicultural team with offices in the Philippines, Italy, and Kosovo.
Role: Event Coordinator (BGC, Taguig — hybrid). Work arrangement balances onsite collaboration at our BGC office with the flexibility of working from home. Schedule: 10 AM - 7 PM PHT.
Responsibilities- Event Coordination & Execution: Support end-to-end logistics for events (roundtables, masterclasses, summits); assist in timelines, checklists, and logistical documents; coordinate day-of-event tasks (vendor arrivals, registration, on-site setup); ensure timely communication with vendors and internal teams; support post-event debriefs with feedback and reports.
- Vendor & Venue Management: Conduct initial venue/vendor research; assist with quotes, vendor trackers, and documentation; maintain vendor and venue databases; process receipts, invoices, and post-event paperwork accurately and on time.
- Quality Assurance & Brand Experience: Execute tasks in line with Ortus quality and branding standards; assist with checklists; gather event feedback and support post-event summaries.
- Innovation & Expertise: Stay aware of trends in events, venues, and logistics; suggest upgrades to processes or vendor options; learn Ortus event protocols and build logistics knowledge.
- Budget Ownership & Efficiency: Verify and track receipts and documentation for event materials (AV, prints, gifts, F&B); track expenses in budget trackers; ensure vendor quotes and invoices align with budgets; coordinate with Finance for payments and documentation.
- At least 1 year of proven experience in event coordination or related administrative role with a focus on logistical planning and execution.
- Strong organizational and time-management skills; ability to manage multiple tasks and deadlines.
- High attention to detail for tracking expenses, managing vendor paperwork, and ensuring event timelines are followed.
- Excellent communication and interpersonal skills to coordinate with internal teams, external vendors, and global partners.
- Experience with vendor management: researching, gathering quotes, maintaining a vendor database.
- Proficiency in administrative tasks: managing invoices, processing receipts, maintaining accurate records.
- Comfortable working in a hybrid environment with in-office and remote work; strong self-discipline and ability to work independently.
- Ability to adapt to and navigate a multicultural team environment and global business communication.
