Job Summary The Admin Assistant (Reliever) will provide procurement and asset management support to ensure continuous and efficient operations of the Procurement Team during employee leave coverage. The role involves handling procurement requests, supplier coordination, and managing company assets throughout their life cycle — from acquisition to disposal. Job Responsibilities Procurement Support Assist in processing purchase requests, preparing canvass sheets, quotations, and purchase orders for approval. Coordinate with suppliers and monitor deliveries, pending items, and billing schedules. Maintain complete and organized procurement documentation and supplier records. Asset Management Support the end-to-end life cycle of company assets – from acquisition, tagging, issuance, transfer, repair, and disposal. Update and maintain accurate asset monitoring reports and records. Prepare asset transfer and disposal documents for approval. Assist in asset inventory and reconciliation with departments. Administrative & Reporting Assistance Encode and update data in procurement and asset tracking systems (e.g., DingTalk or Excel). Prepare and submit weekly and monthly reports on procurement, asset management, and budget usage. Provide general clerical support such as filing, scanning, and record organization. Coordination & Communication Coordinate with suppliers, departments, and admin units to ensure efficient processing of requests. Support in SPF/reimbursement processing and other administrative requirements. Other Duties Perform other administrative or urgent tasks assigned by the Procurement Officer or Admin Manager. Job Qualifications Education: Bachelor’s Degree in Business Administration, Office Management, Supply Chain Management, or any related field. Experience: Preferably 1 year of experience in administration, procurement, or asset management. Fresh graduates with relevant internship experience are welcome to apply. Skills & Competencies Excellent organizational and documentation skills. Strong attention to detail and record accuracy. Proficient in MS Office (Word, Excel, PowerPoint); experience with asset tracking or procurement systems is an advantage. Good communication and coordination abilities. Reliable, proactive, and able to work under minimal supervision. Other Requirements Can start immediately and willing to work under a 6-month contractual arrangement.
