Senior Executive Assistants (Multiple Openings) – Remote, US Time Zone
We are seeking experienced Senior Executive Assistants to support executives across multiple industries. These roles are 100% remote and require strong organizational, communication, and multitasking skills. Some positions require bilingual (English + Spanish) fluency.
Rate: $5–$8/hr USD
Schedule: US Time Zones
Work Setup: Fully Remote
Key Responsibilities:
Manage HubSpot follow-ups, data entry, and cleanup
Maintain and organize customer information and workflows
Create social media templates and marketing e-blasts
Support reporting and collaboration with leadership
Qualifications:
Strong HubSpot and CRM knowledge
Marketing support experience (social media, newsletters)
Excellent communication and organizational skills
Key Responsibilities:
Manage communication with customers in English & Spanish
Handle estimate scheduling, prep instructions, and approvals
Manage calendars, CRM updates, and documentation
Support invoicing, contracts, and operations coordination
Generate reports on leads, jobs, and client feedback
Qualifications:
Bilingual (English + Spanish) – required
3+ years in admin, VA, or project coordination
CRM knowledge (Jobber, DripJobs, Buildertrend, etc.)
Excellent written/verbal communication skills
Construction/home services background preferred
Key Responsibilities:
Create templates for proposals, reports, and documentation
Support invoicing and financial recordkeeping
Manage social media posts for ongoing projects
Assist with project admin, scheduling, and task tracking
Qualifications:
Strong Microsoft Office/Google Workspace skills
Construction/Project admin experience preferred
Familiarity with project management tools is a plus
Key Responsibilities:
Provide executive support and scheduling
Compile reports from JobNimbus CRM
Monitor compliance and job tracking accuracy
Manage company email inboxes efficiently
Qualifications:
Executive Assistant or Back-Office Support experience
Strong CRM/data reporting skills (JobNimbus preferred)
Detail-oriented with strong multitasking skills
Key Responsibilities:
Manage client onboarding and offboarding processes
Oversee CRM (Pipedrive → Zoho) updates and reporting
Maintain client templates, touchpoints, and documentation
Provide occasional personal support to the Founder
Qualifications:
Strong organizational and client service skills
CRM knowledge (Zoho, Pipedrive)
Proficiency in Microsoft/Canva/Calendly tools
Key Responsibilities:
Full calendar, task, and communications management
Represent the CEO in calls, emails, and meetings
Create executive reports, dashboards, and briefings
Handle sensitive matters with discretion and authority
Qualifications:
4+ years supporting C-level executives
Mastery of scheduling, reporting, and communications
Strong decision-making and confidentiality skills
Key Responsibilities:
Support Clinical Directors with scheduling and reports
Manage compliance tracking and audit preparation
Draft communication materials and presentations
Maintain digital filing systems and project trackers
Qualifications:
Admin/EA experience (healthcare preferred)
Advanced MS Office/Google Workspace skills
Familiarity with HIPAA and clinical workflows a plus
Key Responsibilities:
Manage calendars, inboxes, and travel for VPs
Support sales development and CRM pipeline tracking
Conduct outreach to decision-makers and stakeholders
Prepare materials for meetings and workshops
Qualifications:
EA or Sales Coordinator experience
Strong CRM (HubSpot) knowledge
Excellent communication and outreach skills
Key Responsibilities:
Answer inbound calls and deliver customer service
Schedule service technicians and estimators
Manage client files, social media inquiries, and leads
Assist with pricing inquiries and scheduling
Qualifications:
2+ years admin/customer service experience
Microsoft Office required, Procore/Service Titan a plus
Strong phone presence and organizational skills
Key Responsibilities:
Support Clinical Directors with scheduling and reporting
Draft communication materials and presentations
Manage compliance, audits, and QA/QI processes
Track progress on projects and staff tasks
Qualifications:
3+ years EA/admin experience in healthcare
Advanced MS Office/Google Workspace proficiency
Familiarity with behavioral health workflows a plus
Proven experience as an Executive/Administrative Assistant or similar role
Strong organizational, communication, and multitasking skills
Proficiency with Google Workspace/Microsoft Office
CRM experience (HubSpot, Zoho, JobNimbus, etc.) preferred
Ability to work independently in a remote setup
100% Remote Work
