Somewhere Manila, National Capital Region, Philippines Position: Executive Assistant Work Hours: U.S. work hours with flexibility Pay Range: $1,000 - $2,000 USD/month, varying with skill and experience Location of Search: Philippines Work Location: Remote Type of Contract: Independent Contractor Company/Client Overview A privately held firm managing a large and diverse portfolio of commercial real estate assets across the United States. Operations span acquisitions, development, leasing, financing and long‑term asset management with speed, precision and a long‑term mindset. Duties and Responsibilities Manage complex calendars for site visits, internal reviews and executive priorities. Track deadlines and deliverables across deal flow, development milestones and transaction closings. Prepare meeting agendas, take notes, handle follow‑ups and support reporting. Coordinate company travel for business, conferences and property tours. Maintain corporate entity compliance with government authorities. Coordinate company‑sponsored events and vendor gifts. Procure supplies for office, marina and corporate gifting. Arrange personal travel, vacations and reservations for executives. Coordinate family schedules, household staff and personal appointments. Source gifts, handle personal errands and manage special events. Serve as liaison with personal service providers and vendors. Protect time for deep work, travel recovery and wellness activities. Schedule medical, fitness or personal care appointments. Support meal planning, groceries or delivery scheduling. Monitor bandwidth and help rebalance workload. Travel and flight coordination, ground transportation and catering. Correspondence with partners and vendors, coordinating Teams meetings. Vendor, client and team gifts arrangement. Create holiday greetings and event coordination. Maintain company directory and corporate entity listings. Create and maintain SOPs and Standard Operating Procedures. Minimum Requirements Excellent English communication skills. Bachelor's degree preferred. 4+ years of related experience. Industry: Real Estate/Property. Qualifications 4+ years supporting senior executives in real estate or financial services. Experience with real estate professionals, investors or operators. Tech‑savvy with Office 365, Teams, DocuSign and Entrata. Strong organizational skills and follow‑through. Excellent written and verbal communication. Ideal Candidate Discreet, trustworthy and highly organized. Unshakable under pressure and calm in fast‑moving environments. Proactive problem‑solver. Excellent communicator across email, calls and internal notes. Seamlessly moves between professional and personal support. Preferred Experience Familiarity with real estate financing, lease administration or transaction timelines. Experience supporting founders, managing partners or family offices. Comfortable interfacing with vendors, lenders and high‑net‑worth stakeholders.
