What we’re looking for:

We are looking for a highly experienced and tech-savvy Senior Executive Assistant to provide strategic support to our client’s executive team. The ideal candidate has extensive experience in executive support, excels in a fast-paced environment, and leverages advanced technical skills to streamline tasks and improve efficiency. This role requires exceptional organizational, communication, and problem-solving abilities to anticipate and address the needs of the executives.

Responsibilities—what you'll do:

  • Manage complex calendars, including scheduling meetings across time zones, prioritizing engagements, and making adjustments as necessary.
  • Coordinate travel arrangements, prepare itineraries, and handle logistics to ensure smooth travel experiences.
  • Act as a liaison between executives and other departments, clients, and external partners.
  • Prepare, review, and format documents, presentations, and reports with a high degree of professionalism and accuracy.
  • Assist with email management, ensuring priority messages are flagged and responses are timely.
  • Oversee and track project timelines, ensuring milestones are met and deliverables are completed on schedule.
  • Manage and prioritize multiple tasks and responsibilities while maintaining attention to detail.
  • Utilize advanced software skills (e.g., Microsoft Office Suite, Google Workspace, project management tools) to optimize workflows and assist in automating repetitive tasks.
  • Leverage technology to improve efficiency, including using scheduling tools, CRM systems, and data management platforms.
  • Handle expense reporting, billing, and reimbursements.
  • Conduct research and compile information for decision-making purposes as requested by executives.

Requirements:

  • 5+ years of experience as an Executive Assistant, with a track record of supporting C-level executives.
  • Demonstrated expertise in managing complex schedules and high-level projects.
  • High proficiency with office productivity software, communication tools, and scheduling platforms.
  • Exceptional organizational, multitasking, and time-management skills.
  • Excellent written and verbal communication skills, with an ability to convey information clearly.
  • Fully fluent in English
  • Skilled in the use of apps and technology
  • Ability to commit long-term and full-time
  • This position is for serious, career-oriented candidates
