Overview

Position: Operations Support Specialist (Back-Office) · Mid Shift · Eastwood City

Location: Global One, Eastwood, Libis, Quezon City

Work setup & shift: Onsite | Mid Shift

Responsibilities
  • Record Keeping and Data Management: maintain accurate records of resident transactions and agreements in the company database and document management systems; ensure data verification, validation, and quality improvement.
  • Lease Creation and Administration: guide applicants for residency and renewing residents through the leasing process using templated emails/texts within the company CRM; create new residential leases for future and renewing residents based on applicant data and pre-move-in decisions; ensure leases comply with company policies, industry standards, and legal requirements; transmit lease documents for electronic signature and follow up for timely execution.
  • Deposit and Move-Out Accounting: collect documentation on property condition after move-out to support charges or deductions from security deposits; calculate charges using company worksheets and formulas; record credits/debits in the ERP (Yardi Elevate) and produce final account statements; communicate with former residents and onsite teams about deposits and deductions; support third-party collection agencies as needed and administer deposit insurance programs.
  • Reporting and Collaboration: prepare reports related to lease activity and deposit accounting; work with onsite teams, Accounting, and other departments to ensure accurate bookkeeping and smooth onboarding/renewals; maintain organized records in Excel, CRM, and document management systems; collaborate with the Operations Support Manager and other team members to understand software and record-keeping requirements.
  • Compliance and Data Quality: adhere to privacy and security regulations; perform data verification and cleansing; identify and rectify errors in datasets.
Non-negotiables
  • Excellent English communication skills, both written and verbal.
  • Proven data entry experience with a minimum typing speed of 70 WPM and 98% accuracy.
  • Proven experience in lease administration or a related role.
  • Experience in organization, compliance, administrative tasks, and strong attention to detail.
  • Proficiency in Microsoft Excel and Microsoft 365.
Preferred Skills/Expertise
  • Familiarity with basic bookkeeping and lease or property management software is a plus.
