Title: Property Administrator Location: Philippines (Remote for Mililani, Hawaii) Hours: 8:30 AM – 5:00 PM HST Salary: $800 – $1,300 per month About Our Client Our client has been a leader in commercial real estate for 85 years, managing a portfolio of 85 office and retail properties totaling approximately 13.9 million square feet. About The Role The Property Administrator will provide administrative support to the Regional General Manager overseeing the day-to-day operations of the shopping center in Mililani, Hawaii. This role ensures the property remains clean, safe, and well-maintained, while managing tenant communications, contracts, financial reporting, and other administrative duties. Key Responsibilities Assist the Regional General Manager with administrative tasks, including invoicing, insurance certificates, and contracts Proactively manage tenant relations and communications, both verbally and in writing Submit and code invoices in the Avid system, including utility and other invoices Manage Certificates of Insurance by contacting tenants and vendors as needed Prepare service, license, event, and purchase agreements, including drafting, routing for signature, and tracking Maintain tenant contact information, tenant contract compliance, vendor insurance certificates, and team calendar Track gross sales reports and percentage rent payments Monitor water, electricity, and refuse removal in Energy Star Obtain quarterly water submeter readings from tenants and track usage Send annual tenant charge letters and reconciliation packets Assist with monthly financial reports as requested Prepare tenant move-in documents, including possession letters Assist with special projects and other duties as assigned Qualifications & Experience Excellent computer, organizational, and written/verbal communication skills Proficiency in Windows, Adobe, and MS Office Suite (Excel, Word, PowerPoint); typing speed of 45 wpm or higher Effective multitasking and prioritization skills Minimum of 1-year administrative experience, preferably in office or related field Accounts payable/invoicing processing experience preferred Ability to problem-solve and work efficiently in a fast-paced environment Experience with property management software, including Avid and MRI, preferred Commercial real estate property management experience preferred Interview Process Initial screening call Skills and experience assessment Interview with the Regional General Manager Additional Notes Physical demands and work environment reflect those required to perform essential functions; reasonable accommodations may be made for individuals with disabilities #J-18808-Ljbffr
