Overview
We are looking for a proactive and detail-oriented Admin Officer to join our team. This role is essential in ensuring smooth business operations, legal compliance, and efficient support across the company. The Admin Officer will manage administrative tasks, procurement, permits, and government compliance, while also coaching staff and building strong partnerships with external vendors and agencies.
Responsibilities- Oversee daily administrative functions including correspondence, supplies, records, and reporting.
- Manage procurement and inventory control for non-F&B items, ensuring cost efficiency.
- Prepare and process invoices, purchase orders, and expense reports; generate reports to support decision-making.
- Handle facility and maintenance requirements, ensuring compliance with safety and sanitation standards.
- Serve as the main contact for LGU permits and renewals (Mayor’s Permit, Sanitary Permit, Barangay Clearance).
- Oversee BIR compliance: tax filings, business registration updates, and audit documentation.
- Liaise with other agencies (DTI, SEC) for business registrations and compliance.
- Negotiate contracts and pricing with vendors to secure favorable terms and reduce costs.
- Resolve disputes and maintain strong vendor and partner relationships.
- Support new hire onboarding and train staff on administrative and compliance processes.
- Provide coaching, feedback, and support to the team to improve performance and productivity.
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum 2–3 years of experience in administrative roles, preferably in F&B or retail.
- Strong knowledge of Philippine government compliance (LGU permits, BIR tax requirements).
- Excellent communication, negotiation, and problem-solving skills.
- Proficient in Microsoft Office Suite; basic accounting knowledge is a plus.
- Highly organized, resourceful, and able to work independently.
- Knowledge of food safety standards (HACCP) is an advantage.
