We are looking for a dependable and detail-oriented Secretary/Bookkeeper to manage front-office communications, basic bookkeeping tasks, and project coordination duties. The ideal candidate will handle phone calls, enter work orders and invoices, assist with permit and licensing research, and provide general administrative support. Strong multitasking skills and familiarity with bookkeeping software (QuickBooks ) are essential for success in this role. Key Responsibilities: Answer incoming phone calls and direct them appropriately or take messages Enter work orders into the system and update job statuses as needed Create and process invoices accurately and on time Assist with accounts payable and receivable entries Research permit and license requirements for new projects, job sites, or services Maintain and organize digital and paper records for jobs, invoices, and documentation Assist with scheduling, email correspondence, and other office tasks as needed Provide administrative support to management and field staff Ensure office operations run smoothly and efficiently Requirements: Proven experience in an administrative or bookkeeping role Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook) Excellent phone etiquette and communication skills Strong organizational and multitasking abilities Ability to work independently and handle confidential information Familiarity with permit/license research or willingness to learn High attention to detail and accuracy in data entry and invoicing Benefits: Purely work-from-home Night Shift (EST) Weekly pay #J-18808-Ljbffr
