About the Role We are seeking a highly proactive and agentic Executive Assistant to provide strategic administrative and personal support. The ideal candidate takes ownership, anticipates needs, and executes tasks independently. Success in this role requires initiative, foresight, and a solutions‑oriented mindset, particularly in supporting a venture capital environment that is fast‑moving and strategic. What You’ll Do Administrative & Communication Management (45%) Screen and manage phone calls, emails, and correspondence, ensuring timely and organized responses. Attend meetings, take detailed notes, and deliver concise, actionable reports. Draft professional correspondence, including emails, letters, and memos. Calendar & Meeting Coordination (30%) Organize and manage meetings (physical or virtual), considering multiple time zones. Maintain an accurate, up-to-date executive calendar, anticipating scheduling conflicts and priorities. Miscellaneous & Strategic Support (25%) Make travel arrangements and prepare detailed itineraries. Build presentations, decks, and dashboards for internal and external use. Manage social media accounts and assist in content creation. Create marketing and promotional materials using Canva, ensuring brand consistency and quality. Administer critical information concisely, ensuring data accuracy and accessibility. Use digital tools including Google Suite, Notion, and Telegram to enhance workflow and collaboration. Conduct research, market analysis, and assist in preparing investment materials as needed. What You Bring At least 5 years or above of experience as an Executive Assistant, Virtual Personal Assistant, or similar administrative role. Strong proficiency in Google Suite (Calendar, Docs, Sheets, Slides), Notion, and Telegram. Excellent presentation and graphic design skills, including building decks and visual materials, with strong Canva proficiency for marketing and promotional content creation. Strong written and spoken English; additional languages are a plus. High discretion and integrity in handling confidential information. Exceptional organizational, multitasking, and interpersonal skills. Independent thinker with the ability to anticipate needs, take initiative, and work with minimal supervision. Adaptable, proactive, and comfortable working in a fast‑paced, evolving environment. Interest in business, technology, finance, or startups is a plus. Available to work Monday through Friday, 9 AM–6 PM Central European Time, with flexibility to support the Founder during travel. Core Traits Independent thinker with an agentic mindset.
