The NDIS/Healthcare Administrator plays a critical role in maintaining the integrity, accessibility, and accuracy of the organisation’s client and staff data. The role involves managing key operational software systems, including the client management system, Visual Care, and the medication management system Medisphere. It also ensures accurate reporting, compliance tracking, data governance, and proactive coordination with internal teams to support high‑quality care delivery for NDIS participants. This is a remote full‑time position. PHILIPPINE-BASED FILIPINO APPLICANTS The position is open to Philippine‑based Filipino applicants. Requirements are language‑specific and pertain to specific capabilities and experiences described below. Key Responsibilities Administer user access, permissions, and profiles for staff within Visual Care and Medisphere systems. Review and verify shift notes daily, ensuring accuracy and correct categorisation for reporting purposes. Identify and promptly notify Coordinators of irregular or concerning shift notes. Monitor staff compliance with shift‑note submissions and follow up on overdue entries. Assist with the preparation and maintenance of client contracts and Schedule of Supports documents using provided templates. Generate and maintain operational reports and dashboards from the database for internal stakeholders. Support Coordinators and the CEO with administrative tasks related to client and workforce data. Track staff credentialing, training compliance, and documentation accuracy within the database. Maintain data quality standards through regular audits and updates to records. Provide systems troubleshooting and support to staff as required. Contribute to continuous improvement of data management processes and system utilisation. Requirements Proven experience in database administration, information systems, or data management. Familiarity with NDIS processes, documentation, and reporting requirements. Previous experience with a client management system is highly desirable. Demonstrated capability in producing accurate database reports and managing large data sets. Strong attention to detail with excellent organisational and administrative skills. Ability to interpret data, identify discrepancies, and take corrective action. Proficient digital and technical skills with the ability to quickly learn new software platforms. Excellent communication skills, both written and verbal. Work Environment & Expectations While this is a work‑from‑home position, it is a full‑time role with fixed shift times. You will be expected to work a fixed shift and maintain a high level of professionalism and accountability, just as you would in an office environment. Discipline and commitment to set working hours (strict shift times, not flexible). Use of time‑tracking software during work hours. Active participation in team and client calls with your camera ON. Consistent availability and responsiveness throughout your shift. Treating this as a long‑term, full‑time job—not a side gig or freelance task. Benefits Monthly Salary: Php 35,000. Salary will be paid bi‑monthly on the 15th and 30th or 31st of each month. Overtime and Philippine public holiday pay. Probation of 6 months. After probation: 10 days annual leave credits. 5 days sick leave. HMO offered after 6‑month probation. 13th Month Pay after 30 days. Annual Salary Review. Laptop provided after 30 days.
