Fleet Coordinator Responsibilities Determine and communicate the repairs needed in order to maintain the fleet for maximum vehicle life and minimal downtime. Coordinate with branch OICs and branch dispatchers to monitor fleet maintenance schedules and respective accounts. Perform as Customer Service Advisor, building rapport and healthy relationships with valued clients; give safety and road advice, attend emergencies such as service breakdowns. Schedule appointments for periodic maintenance service. Create repair orders, purchase orders, and job orders. Communicate work orders and observe workflow progress in the garage to ensure work is completed to specified requirements in a timely manner. Obtain information from the customer regarding requested or needed work. Discuss repairs with the customer. Record the appropriate information about the unit/vehicle in the computer system (FileMaker) and print out the work order; track customer's rental vehicle and provide repair estimates. Inform rental customers about the status of the units in the garage with a spreadsheet that is updated weekly. Meet with the Motor Pool Supervisor and Job Controller to discuss work orders and areas of concern. Work with the parts specialist to ensure parts are available when the customer's vehicle is ready for repair. Order parts as needed; fill in for the Parts Specialist when they are out. Monitor 200–800 units of vehicle fleet and various client accounts. Handle all other duties as assigned. Assist Head Office and branch requests. Qualifications Preferably a college graduate / bachelor's degree. Ability to communicate both verbally and in writing. Ability to listen to and understand customer's needs. Ability to maintain clear and accurate records. Valid driver's license.
