Job Summary: The Inventory Control Analyst is responsible for maintaining accurate inventory records and ensuring that the physical stock in the warehouses matches the records in the system. This role encompasses establishing and overseeing cycle counting programs, investigating any discrepancies between physical counts and system data, and implementing corrective actions to prevent recurrence of such inventory variances. The Inventory Control Analyst also monitors inventory handling practices to minimize loss, damage, or theft (shrinkage). They work closely with the Warehouse Operations to improve inventory accuracy and with Finance to support proper inventory valuation. By ensuring high inventory accuracy, the Inventory Control Analyst enables better order fulfillment, accurate financial reporting, and effective inventory planning across all channels. Key Responsibilities: Develop, conduct and manage a regular wall to wall cycle counting schedule (daily/weekly counts of the selected items for all the warehouses) to systematically verify inventory accuracy across all product lines. Lead the execution of cycle counts and full physical inventory counts (e.g., annual audits); reconcile count results with system records to identify discrepancies. Investigate inventory variances to determine their root causes – e.g., receiving errors, picking mistakes, data entry errors, theft – and work with relevant teams to correct the records and prevent future occurrences. Update inventory records in the system after verification counts, including making adjustments for any identified gains or losses, with appropriate authorization and documentation. Implement inventory control procedures and best practices: proper labeling, standardized bin locations, first-in/first-out (FIFO) rotation for older stock, and segregation of damaged or expired goods from saleable inventory. Monitor key inventory integrity metrics such as inventory accuracy percentage (system vs physical), shrinkage rate, and adjust frequency of counts for high-risk items or locations. Coordinate with the Warehouse Supervisor and staff to ensure that all inventory transactions (receipts, transfers, shipments, returns) are being executed and recorded correctly in real time. Work with the IT/Systems team to improve inventory tracking tools, such as improving the WMS logic or using barcode/RFID systems, to reduce manual errors. Prepare inventory valuation and reconciliation reports for Finance, particularly during month-end or year-end closing, and assist auditors or accountants by providing inventory data and explaining variances. Train warehouse staff on proper inventory control practices and the importance of accuracy (for example, proper counting techniques, double-checking picks, and prompt recording of any stock adjustments).
