JOB DESCRIPTION FOR A PROJECT MANAGER/SENIOR EXECUTIVE ASSISTANT Duties and Responsibilities of a Project Manager/Senior Executive Assistant: Independently perform a full range of varied complex, sensitive, highly responsible, and confidential office administrative, secretarial, advanced clerical, and routine programmatic support functions of a general or specialized nature in support of assigned programs, division, and/or department with only occasional instruction or assistance. Plan and organize work activities; recommends improvements in workflow, procedures, and use of equipment and forms; implement improvements as approved; develop and revise office forms and report formats as required; organize and maintain filing systems. Operate office equipment including computers and supporting word processing, spreadsheet, and database applications. Capture, record and relay meeting minutes and actions. Participate in researching, compiling, analyzing, and interpreting data. Prepare clear, accurate, and concise reports. Establish, organize, and maintain a variety of specialized files and records. Independently prepare correspondence and memoranda. Perform mathematical calculations. Understand and carry out oral and written directions. Respond tactfully, clearly, concisely, and appropriately to inquiries. Exercise good judgment and maintain confidentiality in maintaining critical and sensitive information, records, and reports. Communicate clearly and concisely, both orally and in writing. Maintain calendar of activities, meetings, and various events. Establish and maintain effective working relationships with those contacted in the course of work. Train and supervise junior executive assistants, analyzing areas of weakness, and monitoring their work. Perform related duties as required. Qualifications and Requirements Must have experience in using LinkedIn/Social media tools at a professional level. Must be able to help manage and be involved in all work aspects of the CEO’s workflow. Minimum of 3-5 years of proven work experience and track record as an Executive Assistant or other similar administrative support experience is strongly preferred. Proven hands‑on experience with office management systems, CRM software such as HubSpot, Microsoft Suite, and other applicable software. Exceptional communication and written skills. Extensive knowledge of principles and practices of office administration. Experience exercising discretion and confidentiality with sensitive company information. Top‑notch organizational skills with an ability to think proactively, multitask and prioritize daily workload. Adept at meeting deadlines in a fast‑paced quick‑changing environment. Advanced knowledge of principles and practices of sound business communication. In‑depth knowledge of principles of business letter writing and report preparation. Advanced knowledge of records management principles and procedures including record keeping and filing principles and practices. Extensive knowledge of customer service and public relations methods and techniques. Exceptional knowledge of methods and techniques of proper phone etiquette. A team player with the initiative to step up into the leadership responsibilities when the need arises.
