Job Description

Executive Support

  • Manage the MD’s calendar, communications, travel, and business documentation.
  • Represent the MD in correspondence and interdepartmental coordination.
  • Prepare reports, presentations, meeting minutes, and briefing materials.
  • Facilitate timely execution of administrative and strategic tasks across teams.

Office Management

  • Oversee office maintenance, cleanliness, supply procurement, and vendor coordination.
  • Supervise support staff (security, janitorial, café operations) and ensure compliance with operational standards.
  • Manage office and café petty cash, purchase requisitions, and contract renewals.

Schedule & Records Management

  • Organize key meetings and maintain documentation for corporate, legal, and financial records.
  • Track and ensure timely submissions of schedules, reports, and compliance deliverables.
  • Oversee HRIS and shift approvals for multiple departments under the MD’s scope.

Travel & Events Coordination

  • Arrange domestic and international travel for executives and staff.
  • Organize company events, supplier gifting, and visa processing support for leadership teams.

Special Projects & Support

  • Assist with contract reviews, insurance renewals, asset management, and sustainability initiatives.
  • Provide operational support for special assignments and personal business matters of the MD.

Qualifications

  • Graduate of any Business or Organizational Communication related course
  • Has above-average communication and interpersonal skills
  • High level of emotional intelligence
  • Discretion and Confidentiality
  • Must be creative and resourceful
  • Must be people-oriented and confident
  • Must be responsible, highly-organized and keen to details
  • Can multitask effectively and can work under minimal supervision
  • Experienced in dealing with high-profile personalities
  • Knowledgeable with standard office administrative practices and procedures
  • Must be highly proficient in computer skills in all Microsoft applications and online research
  • Must demonstrate high level of professionalism and integrity
