Resource Management Administrator

The Resource Specialist is a resource management and workforce planning specialist who activate the day-to-day operations of the resourcing function. Their role is to ensure we maximize business performance and deliver on our talent promise through proactive management of their talent pool. This is obtained by;

  • Allocating the right people, to the right role, at the right time
  • Supporting project demand prioritisation and supply augmentation
  • Identifying and providing insight with regards to workforce planning and skills, capability and trends

The Resource Specialist is part of the regional resourcing team and acts as the key contact for the talent pool's strategic resource allocation and capacity management.

The Resource Specialist uses their specialist knowledge and relationships to ensure we maximize productivity and develop our talent through their on-the-job experiences.

Core Responsibilities

Winning in the Market
  • Stakeholder Management – Responsible for managing key relationships within the talent pool
  • Pipeline & Demand management – Ensuring direct connectivity between pursuits teams and the resource manager
High Performing Team
  • Team Management – attend regional meetings, gather regular feedback, be involved in regional and area project initiatives, build relationships with other internal functions (recruitment, HRBP, learning)
  • Experience Management – speak with Talent pool about desired experiences, identify opportunities to develop staff through experience, support Experience Management initiatives.
Operations
  • Talent pool management & resource optimization – Actively managing bench, available capacity by understanding capability and proactively identifying opportunities for all available resources
  • Resource optimization – Highlighting capability outside the home talent pool via cross-functional, cross-border or cross-region allocation to maximize productivity
  • Experience management – Promoting identification and delivery of career experiences as part of every engagement
  • Continuous improvement – Supporting roll out of initiatives on behalf of the resourcing leader and identifying opportunities to improve team performance.
Quality

Leakage management and data quality – Ensuring ubiquitous and effective use of key enablers and data quality that supports rapid decisions

Other Tasks
  • Retain Booking (monitor forecast update and accuracy)
  • New Joiners Onboarding (schedule, completion of checklist, welcome email)
  • Monitoring of compliance (Discover Profile, MyCareer Hub, other mandatory eLearnings)
  • Review of Internal code specific to Temporary Parking code activities.
  • Consulting KPI Dashboard Updates (MTS, Util%, MCH, Retain)
  • Initiate Time Transfer request for recovery of hours for processing
  • Consulting email group IDs update
Resource Management Assistant

Qualifications:

  • Bachelor's degree in Electronics & Communications Engineering (ECE), Electrical Engineering, or IT.
  • Experience in workforce management or resource planning within the telecommunications industry.
  • Knowledge of project management fundamentals; a professional license is a plus.

Job Functions:

  • Understanding project responsibilities and phases (plan)
  • Assists in assigning of personnel based on skills
  • Ensures all requirements of personnel are all valid as needed per project.
  • Daily monitoring of project based on plan (with template)

  • Manage the allocation of client facing staff to client projects at a global and regional level drawing on robust negotiation skills to resolve conflicts and escalating issues when necessary
  • Demonstrate the confidence and empathy to disrupt the status quo when necessary
  • Be comfortable with staffing analytics, maintain resource management data integrity in the systems that support resource and project management decisions. Flag resourcing capability gaps as an input to hiring and to provide guidance into Learning & Development
  • Demonstrating strong commercial awareness monitor and drive compliance to our financial management system, identify and propose solutions to resolve longer term patterns relating to forecast and actual utilization, monitoring and investigating discrepancies between the data and providing insight
  • Build reports/dashboards to provide teams with improved insights for resource allocations, compliance, utilization, and metrics.
  • Attend/participate in staffing and team calls.
  • Collaborate effectively with global resource management colleagues to deploy staff for delivery team members in a manner that optimizes overall productivity while supporting their individual development objectives.
  • Engage with the principals and other senior leaders to understand, plan for, and ultimately meet the resourcing demands of their pipeline using various reports and tools.
  • Monitor and communicate current and near-term delivery capacity.
  • Flag resourcing capability gaps to the Resource Management team as an input to hiring.
  • Identify and resource within the US RWS COEs to client projects, business development opportunities, thought leadership and internal initiatives in a fast-paced environment.
  • Appropriately escalate conflicts and unresolvable issues to leadership team for their support
Education, Skills, Experience & Specialized Knowledge
  • Bachelor's degree or equivalent.
  • Proven problem-solving skills with strong attention to detail.
  • A self-starting mind-set with excellent team-based interpersonal skills with the ability to work independently with the full spectrum of our people.
  • Strong written and verbal communication skills.
  • Ability to build strong business relationships and influence with key stakeholders at all levels within the business.
  • Ability to demonstrate determination, diplomacy, and resilience.
  • Ability to rapidly assimilate multiple types of information from a variety of sources for effective decision making.
  • Prior experience in a resource management environment and a professional services environment is a plus.
  • Proficient in Microsoft Office applications
  • Experience with Smartsheet, PSA (Professional Services Automation) can CRM (Customer Relationship Management) is a plus.
