The Admin Assistant will be providing the clients, both internal and external, level one support whilst undertaking a varied range of administration and other tasks.

RESPONSIBILITIES

Managing electronic filing of documentsManagement of the customer care inbox – dispersing emails to different designated departments to answer enquiriesUtilizing different software (i.e.: Outlook, Stratamax, Docmax and Ephesoft) for administrative tasksUpdating tenant and real estate agent's information (name, address, contact information etc.) accordinglyFiling of documents (incoming mails and uploading into the correct platform)Management of Strata roll including updates and new business (Management of personal data held in strata roll); In-charge of the change of ownership (Estate & Company title) as necessaryProduce and distribute all relevant certificates upon requestDatabase Management QUALIFICATIONSAt least 3 years of relevant work experience in an administrative roleHigh attention to detail and data entry accuracyExcellent English communication skills in both verbal and written formVery good understanding of interpreting and understanding numbers (payment ledgers)Must be highly organized and proactiveAble to confidently speak up or ask questionsMust be detail-oriented, has good judgment and should be able to think strategicallyStrong commitment to service and a flexible can-do attitude to respond to client and business needs
